Job Description:

Our beautiful Grand Hotel Timeo, a Belmond Hotel in Sicily is searching for a talented Events & Banqueting Manager to join our team of passionate professionals.

The ideal candidate has experience working in Italy, ideally in a resort, and will have a wealth of experience in Events & Banqueting management with excellent knowledge and attention to details in deliverying excellence to our guests.

This position directly reports to the Food & Beverage Manager of Grand Hotel Timeo. The role requires the ability to handle routine matters effectively without guidance and interact with employees within the immediate business areas. The candidate should establish high levels of participation and set operational standards in line with service standards during the pre and post-opening stages of the project. They should also be visible in the operation, provide recognition, promote good public relations, and handle complaints, concerns, or special requests for guests, clients, and group contacts.
The ideal candidate should have expert knowledge of managing event logistics and operations. They should control Banqueting event orders and all related documentation, and attend regular operational meetings to ensure effective coordination and cooperation between departments. Additionally, the candidate should observe the physical condition of facilities and equipment on a daily basis in the Event Center and make recommendations for corrections and improvements as needed.

The position is based in Taormina, Sicily and the contract is full time.
You must possess the legal right to work in Italy / EU.

Responsibilities:

Managing Event Logistics and Operations Assist the F&B Manager in creating the annual budget.

Ensure revenue profit margin is controlled and protected according to company guidelines

Conduct site inspection, coordinate the department involved to prepare all concerned areas in light of the visit.

Ensures that events progress seamlessly by following established procedures, collaborating with other employees, and ensuring accuracy.

Greets customer during the event phase and hands-off to the Event Operations team for the execution of details.

Ensures billing accuracy and conducts bill reviews with the clients prior to processing the final bill.

Manages group room blocks and meeting space for average to large-sized assigned groups.

Identifies operational challenges associated with his/her group and determines how to best work with the property staff and customer to solve these challenges and/or develop alternative solutions.

Stays available to solve problems and/or suggest alternatives to previous arrangements.

Works to continually improve customer service by integrating obtained feedback and personal judgment into action plans.

Emphasizes guest satisfaction during all departmental meetings and focuses on continuous improvement.

Interacts with guests to obtain feedback on product quality and service levels.

Coordinate and control the Even team.

Conducts formal pre- and post-event meetings as required to review/communicate group needs and feedback.

Leads formal pre-event and post-event meetings for average to large-sized assigned groups.

Facilitates various meetings as he/she perceives necessary (Banquet Event Order meeting, block review, etc).

Supporting and Coordinating with the Sales and Marketing Function

Assists in the sales process and revenue forecasting for customer groups.

Up-sells products and services throughout the event process.

Forecasts group sleeping rooms and event revenue (catering and audio visual) for his/her groups.

Reviews comment cards and guest satisfaction results with employees.

Observes service behaviors of employees and provides feedback to individuals and/or managers.

Assists in the development and implementation of corrective action plans.

Take initiative to use his/her experience to improve service performance according to his/her evaluation of the issue and resolution.

Works with the property staff and customers to address operational challenges associated with his/her group.

Performs other duties as assigned to meet business needs.

Requirements

  • Previous experience in similar and/or related fields in a 5* Hotel.
  • At least 2 year experience at same level.
  • Must have Typing skills, Windows XP, Word, Excel, Outlook, Microsoft Projects
  • Familiar with local culture and governmental policies.
  • Ensures high standards of personal presentation and grooming.
  • Maintains strong, professional relationships with internal and external guests and relevant representatives from competitor hotels, business partners and other organizations, including local schools, hotel schools and universities.
  • Responds to changes in the function as dictated by the industry, company and hotel.
  • Reads the hotel's Employee Handbook and has an understanding of and adheres to the hotel's rules and regulations and in particular, the policies and procedures relating to fire, hygiene and health.
  • Attends training sessions and meetings as and when required.
