About the Role
We are looking for a talented Event Assistant to support in the logistics and coordination of an important global event.
Key Responsibilities
Coordinate logistics
  • Serve as a general point of contact and problem-solver, coordinating between the event organizers, the staff of event sites, speakers, guests, and others
  • Identify vendors for services such as translation, photography, and transportation. Solicit and organize bids for services. Work with both vendors to deliver services.
  • Engage volunteers who will be identified by the event hosts to help with the event.
  • Arrange visas for event speakers and guests (the number expected is between 5 and 50)
  • Research and provide information as needed.
Provide on-the-ground support
In the week before, during, and after the event, tasks will vary but are likely to include things such as:
  • Serve as an all-purpose point of contact at the event site.
  • Buy supplies from local stores.
  • Manage printing.
  • Deliver materials to the event sites, which are located near St. Peter’s Square and near the Centro Mariapoli Internazionale in Castel Gandolfo.
    Work with speakers and guests to ensure their needs are met.
Support high-level leaders
  • As needed, provide support to high-level leaders, including researching travel options, reserving travel, and other.
  • Complete other duties as assigned.
Characteristics & Skills
  • Experience supporting one large-scale, high-profile event.
  • Use of Zoho or Project Management tools. Use of Google Workspace (Google Sheets) or MS Office. Zoom.
  • Collaboration across teams in a remote work environment.
  • Project management.
  • High attention to detail and follow-through
Languages: Written and spoken fluency in English and Italian are required. Fluency in Spanish or Portuguese is helpful.
Work environment: This position will working largely remotely but with infrequent in-person visits to the event sites if needed (travel must be approved by the manager).
Type: Part-time, temporary position (until October 2025). In the run-up to the event, the role will work approximately 2 days per week for 4-5 hours per day. In the week before and during the event and possibly the week after, the role will work approximately 5 days per week for 8 hours per day.
