Overview

RINA is currently recruiting for a Europe IO Business Support Advisor to join its office in Genoa, Italy within the RINA Consulting IFI Commercial and Tender Management Division.

Mission

A Business Support Advisor with a focus on managing administrative tasks from the creation of a customer in a database to the issuance of invoices plays a crucial role in ensuring smooth customer interactions and efficient business operations.

Key Accountabilities
  • Tender Documentation:
    • Assist in the preparation of tender documentation, ensuring accuracy, completeness, and compliance with tender specifications.
    • Collaborate with internal teams to gather required information for inclusion in tender submissions.
  • Compliance Assurance:
    • Ensure that tender submissions and vendors' qualifications adhere to tender and qualifications compliance procedures, legal and regulatory requirements.
    • Collaborate with legal and compliance teams to address any issues related to tender or clients' qualification compliance.
  • Data Management:
    • Manage and update the Vendors Database, ensuring that it is accurate and up-to-date.
    • Archive all tender documents systematically for future reference.
  • Vendor Qualification:
    • Support the qualification process for the company and its subsidiaries on the Vendor List.
    • Assist in managing the qualification procedures through Customer Suppliers Portals.
  • Research and Information Gathering:
    • Monitor notices and outcomes of public and private tenders.
    • Conduct research to gather relevant information about potential tender opportunities.
  • Communication:
    • Communicate with internal teams and stakeholders to gather necessary information for tender submissions.
    • Assist in maintaining effective communication channels throughout the tendering process.
  • Quality Assurance:
    • Contribute to the quality assurance process by conducting reviews of tender documents.
    • Collaborate with team members to ensure the accuracy and quality of tender submissions.
Education

High School Diploma/GED in Business Administration Finance Management or Law

Qualifications
  • 1/2 years of experience in tendering, procurement, or a related field;
  • Good level of English both spoken and written is mandatory;
  • Knowledge of any other language, will be considered as a strong plus (e.g. French, Spanish etc)
  • Ability to manage time effectively and prioritize tasks to meet tight deadlines.
