Junior CEO Assistant

At Alfasigma, we are looking for a Junior CEO Assistant to provide support to the CEO Office and assist in managing both corporate and personal affairs. The ideal candidate will work closely with the Senior Executive Assistant and Chief of Staff, ensuring the smooth running of daily activities and enhancing operational efficiency. This role requires a high level of discretion, reliability, and strong organizational skills.

Key Responsibilities
  1. Assist in managing the CEO’s calendar, scheduling meetings, and coordinating appointments.
  2. Handle purchase orders using SAP and Concur.
  3. Oversee office maintenance and related administrative tasks.
  4. Arrange travel itineraries and manage travel expenses for the CEO and CoS.
  5. Organize meetings, including sending calendar invitations and booking meeting rooms.
  6. Support in the preparation of reports, presentations, and data analysis using Excel and PowerPoint.
  7. Assist in day-to-day operational tasks as required.
  8. Coordinate with accountants, finance, and legal representatives on behalf of the principal.
  9. Provide general assistance in managing personal and family-related matters.
  10. Support with private travel arrangements and coordination of service providers as needed.
  11. Manage ad-hoc projects related to personal matters.
  12. Ensure the secure handling and storage of confidential documents and contracts.
Requirements
  1. Minimum 2 years of experience in a similar role within a corporate setting.
  2. Excellent proficiency in English (spoken and written).
  3. Demonstrates a high level of autonomy, initiative, and independence.
  4. Strong sense of discretion and confidentiality, with the ability to build trusted relationships.
  5. Proficiency in Microsoft Office Suite (Outlook Calendar, PowerPoint, Excel).
  6. Strong problem-solving and organizational skills.
Location

Milan, with availability to travel to Bologna.
