We are currently recruiting for a full-time Commercial Specialist in the EU, reporting to the Business Operations Department. This role is highly collaborative and requires drive and excellent time management skills. You will work closely with different business sectors and deliver activities to support business growth.
Job Description :
- E-commerce Platform and Related Document Management
- Platform Checks: Regularly monitor multiple electronic procurement platforms (e.g., Mepa) to stay updated on the latest procurement notices and requirements.
- Document Management: Download necessary documents from suppliers, fill them out according to project requirements, and ensure all information is accurate and compliant.
- Document Upload: Timely upload completed documents following the specified procedures to ensure on-time submission.
- Document Updates and Maintenance: Regularly review and update relevant business documents to maintain the latest versions for team access.
- Tender Management
- Tender Filling: According to tender requirements, integrate existing business documents and fill in the correct sections.
- Tender Document Organization: Collect and organize required documents for bidding, assist sales in preparing for submission.
- Document Update: Maintain business-related documents for internal bidding in the latest version.
- Tender Archiving: Organize and archive bidding materials within the business unit after submission.
- Logistics Support
- Customer Shipment Booking Services and Troubleshooting: Resolve sample delivery issues with third-party couriers and customs.
- Accounts Receivable Support: Invoicing and payment management.
- Other work as assigned by managers.
Essential Skills / Experience :
- Degree in Law, Economics, Finance, or Business Management. A biology background or relevant work experience is a plus.
- At least 2 years of experience in a similar role, preferably in biotech/medical devices or a regulated environment.
- In-depth knowledge of tender regulations and procedures.
- Excellent organizational and time management skills.
- Outstanding communication and negotiation skills.
- Ability to work under pressure and meet strict deadlines.
- Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint).
- Outstanding listening, verbal, and written English communication skills.
- Native or business-level Italian speaking proficiency.
