Location: in our offices in Milan, on a hybrid working schedule (3 days/week in the office + 2 days/week working from home).

About the role:

We are seeking a Payroll Analyst based in Milan to join our EMEA Payroll team. In this role, you will lead and support the processing of Italian payroll using EMEA-wide processes and procedures. You will act as the primary contact for the Tax Office, healthcare institutions, and other entities. Your responsibilities include extracting variable input data, populating upload templates, and resolving employee pay-related queries via ServiceNow. Collaboration with HR, Finance, and other internal units will be essential to ensure payroll accuracy and timeliness. You will also work with payroll vendors to deliver excellent service and drive continuous improvement by optimizing, standardizing, and automating processes.

Your Responsibilities will include:
  1. Leading and supporting the processing of scheduled Italian payroll.
  2. Serving as the point of contact for the Tax Office, healthcare institutions, and other entities.
  3. Extracting variable input data and populating upload templates.
  4. Reviewing and resolving pay-related queries from employees within ServiceNow.
  5. Collaborating with HR, Finance, and other internal units to ensure payroll accuracy and timeliness.
  6. Partnering with payroll vendors to deliver top-tier service.
  7. Championing continuous improvement by optimizing, standardizing, and automating processes.
  8. Becoming a Subject Matter Expert in specific payroll processes.
  9. Liaising with auditors to ensure compliance with internal and external requirements.
  10. Participating in GBS and Global Payroll projects, driving improvements and leading small projects.
  11. Supporting team members through coaching, feedback, and guidance.
  12. Executing payroll accounting activities, including journal entries, month-end closure, and reconciliation.
  13. Processing pension payments, reviewing costs, and reconciling payments.
  14. Updating documentation for process changes.
  15. Handling other ad-hoc responsibilities as needed.
What are we looking for in you?
  1. At least 3 years of experience in in-house payroll.
  2. Knowledge of electronic attendance systems (e.g., Zucchetti, Explora) is a plus.
  3. Excellent understanding of labor law.
  4. Preferably, experience within an international shared service environment (minimum 12 months).
  5. Fluent in Italian and English.
  6. Bachelor's degree in accounting, business management, or related field.
  7. Knowledge of SuccessFactors, ServiceNow, and SAP S/4 HANA is advantageous.
  8. Proven track record of continuous improvement and striving for excellence.
  9. Strong communication, writing, and facilitation skills.
  10. Leadership and influencing abilities.
