The role assist with the day-to-day operation of the Accounting Office of the hotel.

You are a people-person, and you enjoy direct human contact with all the other departments of the hotel. You understand how busy the front of the house operations can get and you want to be helpful and supportive. So, by keeping financial records and data secure, accurate and up to date, you’ll help ensure we’re in a good place to continue providing great destinations that guests return to time after time.

What you’ll do

CORE WORK ACTIVITIES

General Accounting Functions

  • Perform cash reconciliation daily, timely follow up on variances and ensure compliance with Marriott policy.
  • Perform bank reconciliation daily, cooperating with accounts receivable on credit card activities and accounts payable on vendor’s payment.
  • Prepare periodic payment run and manual payments in accordance with pre-specified and agreed commercial terms and conditions.
  • Ensure all expense claims are approved according to policy and payment processed in the next payment run
  • Ensure Marriott invoices are review and recorded timely in the accounts payable systems (PeopleSoft)
  • Ensure regular VAT reconciliations and monthly submissions of LIPE
  • Liaise with owner accountant on preparing and providing required tax and regulatory information as INTRASTAT, ESTEROMETRO, withholding tax, etc.
  • Maintain perpetual inventory for Hotel food and beverage stores by recording delivery dockets in the procurement system BirchStreet
  • Ensure property permits, licenses and vendor contracts are current and in line with Marriott policies.
  • Assist with Income Audit tasks to ensure compliance with Marriott policies
  • Advise the Director of Finance on existing and evolving operating/financial issues.
  • Perform any other reasonable task requested by Director of Finance

Month end Process (P&L and A&L Reconciliation)

  • Participate to the monthly stock take of food and beverage stores and assist with the BirchStreet reporting
  • Ensure all end of month journals and adjustments have been posted Ensure general ledger reconciliations are performed monthly with appropriate supporting documentation and imbalances are appropriately resolved on a timely basis as required.
  • Ensure all A&L accounts have balanced before closing month endin accordance with SOPs
  • Prepare A&L reconciliations by due date for Director of Finance’s review & approval

Internal & External Audits

  • Conduct internal audit as per yearly audit schedule
  • Provide audit result and weaknesses with backups to Director of Finance for review and approval
  • Record approved audit score and weakness identified in Quick Base
  • Follow up on all weakness identified for a resolution within 90 days for identifying the weakness
  • Assist external auditors by providing requisite backups
  • Follow up on any weaknesses identified through external audits for a resolution within 90 days
  • Ensure compliance with standard and local operating procedures (SOPs and LSOPs)

What you’ll need:

  • 4-year bachelor's degree in Finance and Accounting or related major;
  • 1 to 3 years of experience in Accounts Payable role, looking to step up
  • Good command of English and Italian language
  • Experience in the hospitality industry constitutes an advantage, other industries will be considered as well.
