Location:in our offices in Milan, on a hybrid working schedule (3 days/week in the office + 2 days/week working from home).

About the role:

We are looking for a Payroll Analyst, based in our offices in Milan, who will be joining our EMEA Payroll team.

As Payroll Analyst, you will lead and support the processing of scheduled Italian payroll using EMEA-wide payroll processes and procedures. You will serve as the point of contact for the Tax Office, healthcare institutions, and other entities. Your role will involve extracting variable input data, populating upload templates, and resolving pay-related queries from employees within ServiceNow. You will work collaboratively with Human Resources, Finance, and other internal units to ensure payroll accuracy and timeliness. Additionally, you will partner with payroll vendors to deliver best-in-class service and champion a culture of continuous improvement by optimizing, standardizing, and implementing automation into processes.

Your Responsibilities will include:

  • Leading and supporting the processing of scheduled Italian payroll.
  • Serving as the point of contact for the Tax Office, healthcare institutions, and other entities.
  • Extracting variable input data and populating upload templates.
  • Reviewing and resolving pay-related queries from employees within ServiceNow.
  • Collaborating with Human Resources, Finance, and other internal units to ensure payroll accuracy and timeliness.
  • Partnering with payroll vendors to deliver best-in-class service.
  • Championing a culture of continuous improvement by optimizing, standardizing, and implementing automation into processes.
  • Becoming the Subject Matter Expert in specific payroll processes.
  • Liaising with company and external auditors to ensure compliance with internal and external requirements.
  • Participating in GBS and Global Payroll projects by driving improvement initiatives and leading small projects or project steps.
  • Supporting team members by setting an example, coaching, and providing feedback and guidance.
  • Executing payroll accounting activities, including journal preparation and posting, month-end closure, and reconciliation.
  • Processing pension payments, reviewing costs, and reconciling payments.
  • Updating documentation with any process changes.
  • Handling other ad-hoc responsibilities as needed.

What are we looking for in you?

  • 3+ years of experience in in-house payroll.
  • Working knowledge of electronic attendance tracking systems (e.g., Zucchetti, Explora) is an advantage.
  • Excellent understanding of labor law.
  • Preferred additional experience within an international shared service environment, with a minimum of 12 months’ experience.
  • Fluent in Italian and English.
  • Minimum bachelor’s degree in accounting, business management, or a related field.
  • Working knowledge of SuccessFactors, ServiceNow, and SAP S/4 HANA is an advantage.
  • Track record of continuous improvement and striving to be best in class.
