Temporary Program Assistant Position - Fall 2025 Semester

The Program Assistant is a temporary role supporting programming operations at the study center. On-site staff are dedicated to advancing organizational objectives through strategic, innovative, data-driven, and research-based practices aligned with Verto's mission. They serve as organizational champions to ensure practices significantly impact the student experience and meet organizational goals.

The Program Assistant supports the daily functions of the Study Center, including administrative tasks and student success activities. They collaborate with the Program Director and other onsite teams to ensure administrative requirements are met efficiently.

Responsibilities:
  1. Assist with housing coordination, including planning assignments, Salesforce submissions, and check-in/check-out procedures, under supervision of SSM and the Director of Student Success.
  2. Serve as the primary contact for escalated housing concerns.
  3. Manage housing inboxes, ensuring prompt responses.
  4. Liaise with students and housing providers, monitoring maintenance requests.
  5. Collaborate with the Student Success team to resolve accommodation concerns.
  6. Develop and distribute program materials, orientations, handbooks, and informational resources.
  7. Support program evaluation by gathering feedback for improvements.
  8. Assist in developing initiatives to enhance the student experience.
  9. Help the Program Director prepare reports and manage projects with attention to detail.
  10. Fill in for Student Support Advisors as needed.
  11. Create a student-centered environment through regular engagement.
  12. Educate students on policies, safety, and responsibilities.
  13. Maintain confidentiality of personal information.
  14. Participate in on-call rotations for emergencies.
  15. Write incident reports as necessary.
  16. Assess and address student program needs proactively.
  17. Participate in front desk shifts and manage mail, packages, and email inquiries.
  18. Provide administrative support to team members.
Qualifications:
  1. Experience in student support or advising preferred.
  2. Strong organizational, time management, and communication skills.
  3. Proficiency in relevant software and quick learner of new systems.
  4. Ability to handle crises calmly and effectively.
  5. Interpersonal skills and commitment to inclusivity.
  6. Knowledge of international education or study abroad programs is a plus.
  7. Flexibility for occasional evenings, weekends, and travel.
Work and Environmental Conditions:
  1. Overnight trips with different accommodations and schedules.
  2. Fast-paced work environment requiring sustained periods of activity.
  3. Potential exposure to outdoor hazards, extreme temperatures, noise, and heights.
