Job summary

Luxsense Italia, part of RC Group, is seeking an Administrative Project Manager to oversee luxury window displays, retail animations, and popups from concept to completion. Based in Milan, you will manage multi-material projects, budgets, timelines, and client relationships with precision and creativity.

You will collaborate with design, production, and suppliers, ensuring high-quality delivery, on-time performance, and a seamless client experience across prestigious brand accounts.

Qualifications

• Bachelor's degree in project management, design, or related field.
• 2+ years in design or project management for luxury retail/events.
• Fluency in Italian and English; French a plus.
• Strong organizational and negotiation abilities.
• Experience with PM software and MS Office.

Responsibilities

• Lead full lifecycle of window displays and popup projects from briefing to execution.
• Gather client requirements and align with brand vision and specs.
• Create detailed project plans with timelines, budgets, and resources.
• Coordinate with internal teams and external suppliers for quality and delivery.
• Supervise installation on-site and manage client invoicing.

We are seeking a dynamic Administrative Project Manager to join our team. The ideal candidate will have a deep understanding of the luxury retail sector, with a proven ability to manage complex, multi-material projects from conception to completion. As Project Manager, you will lead a range of projects, ensuring they meet the highest standards of quality, budget, and timelines while maintaining strong client relationships. This full-time position is based in Milan.

Key Responsibilities:

Project Management :

• Lead the full lifecycle of window displays, retail animations, and popup projects for luxury brands, from briefing to execution.
• Collaborate with clients to gather requirements and ensure alignment with their brand vision and technical specifications.
• Develop detailed project plans, including timelines, budgets, and resource allocation, ensuring all milestones are met on time and within budget.
• Coordinate with internal teams and external suppliers to ensure the highest standards of design, craftsmanship, and delivery.
• Supervise the installation process to guarantee flawless execution on-site.
• Create the client invoice

Design:

• Develop, implement new projects and campaign ideas in the retail world
• Draw and design proposals for creative and innovative solutions and be able to deliver projects within set timeframes
• Provide technical advice on production and industrialization of displays, windows, furniture and retail spaces with the selection of appropriate material and a focus on lighting technology as well
• Assist Sales resources for technical support in bidding/post-sale phase
• Collaborate with Production Departments and External Partners in refining the production process and in compliance with the project itself

Supplier & Vendor Management :

• Manage relationships with suppliers and vendors, ensuring competitive pricing and timely delivery of high-quality materials.
• Oversee the prototyping and production phases, conducting quality checks and site visits as needed.
• Troubleshoot any issues that may arise during production or installation to avoid delays or budget overruns.

Client Communication & Satisfaction :

• Serve as the main point of contact for clients, providing regular updates and addressing concerns.
• Ensure all projects adhere to client specifications and uphold the luxury standards associated with their brand.
• Build strong, long-term relationships with clients, with a focus on repeat business and client satisfaction.

Required/Preferred Qualifications :

• Bachelor's degree in project management, Business Administration, Design, or related field.
• 2+ years of design/project management experience, preferably in the luxury retail, visual merchandising, or event production sectors.
• Strong understanding of window and display production processes, materials, and techniques.
• Excellent organizational skills, with the ability to manage multiple projects simultaneously under tight deadlines.
• Exceptional communication and negotiation skills.
• Fluency in Italian and English is required; additional languages such as French are a plus.
• Proficiency in project management software and Microsoft Office Suite.

Computer skills:

Good knowledge of the following software programs 3DStudioMax, Rhino 3D, V-Ray, the Adobe Suite, KeyShot and AUTOCAD.

Knowledge of 3D printing skills is appreciated.

WORKING CONDITIONS & BENEFITS:

• Location: Barlassina (MB), Italy
• Salary: €30,000 – €35,000 gross per year
• Remote working: 1 day per week
• Transportation: Personal transportation required to commute to our Barlassina office, as it is not accessible by public transport.
