POSITION SUMMARY

This role aims to support ULI’s member leadership in Italy to further the mission of ULI and the Italy National Council (ULI Italy) and grow and retain the membership; organise events and programmes for various member cohorts and markets and communicate these activities effectively, working in close collaboration with colleagues across ULI in Europe, including other country teams, NC support team, marcomms, and business development and membership.

The candidate must have strong organisational and management skills, an entrepreneurial spirit, and the ability to multitask and respond to situations quickly. They will have strong interpersonal skills and enjoy interacting with and managing meetings with volunteer members. ULI Italy’s membership includes senior-level business executives, government and public officials, and senior members of the real estate and land use community.

Attendance at member events is required, as well as scheduled in-person meetings with the Chair of ULI Italy.

SPECIFIC RESPONSIBILITIES

In partnership with the Chair and Executive Committee of ULI Italy develop and execute a comprehensive membership programme to retain existing members, increase the number of members and encourage upgraded memberships, by making ULI Italys’s activities relevant to the needs of (prospective) members.

Events / Programmes

  • Manage and execute all logistical aspects of planning (including budgets) and delivering high-quality National Council events (digital and physical):
  • Budget management and tracking finances.
  • Oversee relationships with third-party contractors; management of procurement processes and negotiating with suppliers.
  • Input to the programming aspects of events by working with colleagues across ULI Europe, National Council committee members, to identify speakers, and align the content with ULI Italy’s programme of work.
  • Handle and attend all meetings logistics before, during, and after each event.
  • Work strategically to streamline the delivery of events.
  • Leverage events to maximise membership growth for ULI Italy and pro-actively follow up with engaged non-members after the events.
  • In partnership with the Chair of ULI Italy, manage and oversee the delivery of events and programmes for Young Leaders and NEXT groups.

Marketing and communication

  • Understand, communicate, and deliver the ULI brand to Italian market.
  • Write copy for event marketing emails, newsletters, brochures, and promotional materials.
  • Work in partnership with Chair of ULI Italy and the National Councils’ Team in London to produce high-quality, appealing, creative, and tailored Italy marketing materials; and create and implement innovative and effective marketing strategies, including:
  • Monitoring all marketing responses, analyze effectiveness of marketing outlets, and deliver pre-/post-event marketing analysis including delegate feedback surveys.
  • Managing social media campaigns and community management.
  • Promoting ULI Italy event (physical or virtual) within the community and on social networks. Animation of ULI Italy social networks, with the help of marcomms colleagues and potenthial external experts.
  • Providing support, in coordination with the press agency, on preparing the press kits.
  • Keeping the ULI Italy website up to date.

General Management

  • Access records from ULI’s database, reports, meeting rosters, badges, invoices, etc., as needed.
  • Work closely with ULI colleagues to analyse membership engagement and retention and pro-actively reach out to non-engaged members / members whose membership is expiring
  • Provide the ULI Italy Chair and Executive Committee with memberrship analysis results to assess and finetune the Council’s growth strategy.
  • Pro-actively support the Chair with the preparation of Executive Committee and other meetings.
  • Perform other operational duties and manage projects, as required.

REQUIREMENTS

  • Independent self-starter with the ability to work with minimal supervision to produce a high-quality product and a successful outcome.
  • Experienced events and/or project manager including the organisation of content, marketing, coordination and accounting related to events
  • Ability to successfully handle multiple priorities, as well as adapt quickly to shifting duties and responsibilities.
  • Strong organisational and time management skills to meet deadlines and follow up with final details, as well as a commitment to detail and accuracy.
  • Self-directed and resourceful, able to initiate tasks and assume responsibility for them.
  • Experience working, managing and negotiating with third-party suppliers .
  • Experience owning and managing a business plan/budget, and cost management.
  • A positive outlook, a collaborative and partnership approach.
  • Strong team player.
  • Strong communication and interpersonal skills—an ability to interact with members and ULI staff at all levels.
  • Outstanding customer/member service orientation.
  • Fluent in Italian and proficient in English—both written and spoken.
  • Excellent writing skills.
  • Fluent/proficient computer skills and strong aptitude with computer software for applications in word processing (Microsoft Office), spreadsheets (Excel), and social media are required. Design skills and website software (WordPress, Canva and basic HTML) are a bonus.
  • Occasional travel required (Italy and Europe).
  • Knowledge of the real estate industry and key players would be a plus, but not a requirement
  • Experience in social media and digital marketing would be a plus, but can otherwise be learned

CONTRACTUAL TERMS

This is a contractor position, not a salaried employment role. The selected individual will enter into a freelance contract with ULI and must ideally be registered with a valid Italian VAT number (Partita IVA).

  • The contractor will work on an independent basis, without subordination or hierarchical relationship with ULI.
  • Payment will be issued upon invoice submission in accordance with the agreed-upon rate and payment terms.
  • The contractor will be responsible for their own social security contributions, taxes, insurance, and compliance with applicable Italian laws governing freelance work.
