About the Position

This position serves as a key contributor in the Communications Department, focusing on event management and communication. The primary responsibility is to manage Werfen's participation in scientific congresses to generate awareness, boost sales, and enhance brand positioning.

The role involves ensuring proper brand exposure during events in accordance with Werfen's Brand & Visual Identity Guidelines, managing contracts, logistics, budgeting, negotiations with subcontractors, selecting venues, developing event materials, editing communication to clients, and preparing expenditure reports.

Additionally, the position supports EEMEA Distributors to ensure correct brand positioning and organizes main EEMEA events with partners and clients.

Key Accountabilities

  1. Support brand and institutional communication activities (internal and external) as needed by the Communication Manager.
  2. Manage company events and participation in third-party congresses for Italy and EEMEA, ensuring compliance with ECM regulations and Transparency Law obligations.
  3. Negotiate contract terms with event providers to ensure optimal brand exposure within budget and oversee agreement processes.
  4. Manage external agencies and suppliers to develop event materials, gadgets, and booth layouts according to Brand & Visual Identity Guidelines.
  5. Edit event direct mailing content and develop social media content for EEMEA.
  6. Manage Educational Grants by coordinating with external providers.
  7. Support the organization of key direct events, managing speakers, attendees, and hospitality following established procedures.
  8. Update company tools and platforms related to events, such as BrightCove, Transparency Tool, SharePoint Event Calendar, and Good Morning EEMEA.
  9. Administer invoice processing.
  10. Support cross-functional projects within area of competence.
  11. Ensure compliance with Werfen's Code of Ethics and CDM rules.

Internal: Marketing (Italy and EEMEA), Sales (Italy and EEMEA), Administration, Warehouse, General Services, Compliance, Human Resources, Board Management, DPO.

External: Suppliers, Scientific Providers, Global Communications (Spain & US), EEMEA Distributors.

Minimum Knowledge & Experience Required

Education: Bachelor’s degree in marketing, business communications, or a related discipline.

Experience: Minimum 3 years in business communications.

Additional Skills/Knowledge:

  • Experience in project management
