Job Overview

Aethos is seeking an experienced and detail-oriented Cluster Accounts Payable Specialist with expertise in the hospitality industry for our operations in Italy. The successful candidate will play a crucial role in managing the financial transactions and payment processes of our organization. The ideal candidate will have strong knowledge of the USALI (Uniform System of Accounts for the Lodging Industry) and possess fluency in Italian, along with excellent English language skills. The Cluster Accounts Payable Specialist will be responsible for all AP-related tasks from start to finish: booking invoices, preparing payments, supplier’s requests, cost control, inventories control, problem solving in daily operations, and ensuring all administrative tasks are executed perfectly.

The candidate must be a true ambassador of the Aethos brand.

Essential Job Functions and Responsibilities

• Process accounts payable invoices and ensure accurate coding, documentation, and timely payments in compliance with company policies and procedures for our Italian Hotels
• Managing different information systems
• Maintaining spreadsheets and database
• Cost control and purchase orders validation
• Organizing payment to suppliers
• Making bank reconciliation
• Making accounting reconciliation and monthly closing
• Collaborate with various departments, vendors, and suppliers to resolve any payment-related inquiries or issues
• Supervising the inventories of all our properties
• Maintaining accurate and organized records of all Accounts Payable transactions, ensuring proper documentation for audits and financial reporting
• Ensure compliance with Italian tax regulations and reporting requirements.
• Assist in the month-end closing process by providing necessary reports and reconciliations related to Accounts Payable, accruals management, Asset Management and Depreciation
• Participate in internal and external audits, providing required documentation and explanations.
• Office based in Milan

Core Competencies

• Fluent in English & Italian is a must
• 1+ years of hospitality experience is a plus
• Previous experience as an Accounts Payable Specialist in the hospitality industry is strongly preferred
• Flexible schedule - long hours during Closing and Budget period
• Ability to make thoughtful decisions and give constructive criticism
• Maximizes efforts towards productivity, identifies problem areas, and assists in implementing solutions
• Maintain a warm and friendly demeanor at all times, whilst remaining genuine
