Position Objective:

The Office Manager is an operational and clinical role responsible for providing 5-star service by assisting physicians in managing daily healthcare office operations and treating geriatric patients, following established standards and practices. The incumbent reports to the Regional Manager and manages a care team of medical assistants and/or receptionists (generally 3-7 members).

Responsibilities:

  • Oversee, monitor, and improve clinic performance and other KPIs, including HEDIS, admission management, ER utilization, and patient volume.
  • Manage clinic staff, including payroll, PTO, hours, and performance evaluations.
  • Communicate with providers to ensure quality patient care.
  • Assist with scheduling, administrative, and clinical duties for providers (mid-levels and physicians).
  • Lead daily clinic huddles and assign outreach call efforts to team members.
  • Manage office operations to ensure efficient, accurate, and patient-focused care.
  • Provide exceptional customer service to patients, staff, and other departments.
  • Ensure proper onboarding and training of new team members per policies and procedures.
  • Maintain accuracy of all information, including supplies, invoices, referrals, records, and medication management.
  • Inform management of office trends and recommend policy or workflow improvements.
  • Participate in team meetings and communicate updates effectively.
  • Keep team calendars, spreadsheets, and whiteboards current.
  • Assist providers with credentialing, portal access, licenses, and memberships.
  • Ensure compliance with Medicare Advantage, HIPAA, and labor laws; report breaches or issues.
  • Perform additional duties as assigned.

Position Requirements/Skills:

  • At least 4-5 years of Medical Assisting experience (preferred depending on location and team).
  • Minimum 1 year of leadership experience.
  • CPR certification preferred.
  • Strong commitment to patient care and confidentiality.
  • Excellent communication skills, both oral and written.
  • Ability to read and write medical terminology accurately.
  • Knowledge of medical coding, HIPAA, OSHA, and Biohazard guidelines.
  • Proficiency with electronic medical records, Google Suite, and Microsoft Office.

Preferred Qualifications:

  • Bachelor's in healthcare administration or related field (preferred).
  • Medical Assistant Certification (preferred).
  • Prior clinical and medical assisting experience (strongly preferred).
  • Ability to perform clinical duties such as vital signs, medication review, injections, wound care, blood draws, and assisting physicians.

Physical Requirements:

  • Full range of motion, manual dexterity, and ability to handle patients and equipment.
  • Prolonged standing, walking, bending, kneeling, and reaching.
  • Ability to lift/carry up to 15 lbs and operate a vehicle.
  • Corrected vision and hearing, and ability to sit or stand for extended periods.

Pay Range
USD $55,000.00 - USD $60,000.00 /Yr.
