Please note: This is a part-time 12-month contract (21 hrs/week).

Introduction to the team:

The EMEA HR Health and Safety team ensures regional compliance, promotes employee well-being, and aligns with our mission of fostering a safe and supportive workplace across diverse markets.

You will have the opportunity to collaborate with leaders and staff to implement impactful health and safety measures across our offices in EMEA.

In this role, you will:
  • Handle routine information requests via phone or email, host visitors, and ensure accurate information dissemination.
  • Use information management tools (online systems, hard copy files) to retrieve and organize requested information.
  • Assist with logistics for team events (internal and external).
  • Schedule meetings and coordinate messages, appointments, and information for department staff.
  • Manage new hire setup, user access support, space planning, and office moves.
  • Order and maintain inventory of supplies.
  • Prepare and proofread documents, presentations, and team communications for grammar, spelling, and quality.
  • Track details and deliverables, prioritize tasks, and allocate resources effectively.
  • Work independently to complete tasks and provide coverage for absent colleagues.
  • Demonstrate punctuality, reliability, and focus in meeting deadlines.
  • Support health and safety initiatives under supervision, including tracking training, compliance assessments, risk assessments, medical checks, and ergonomic assessments.
  • Manage invoice control for health and safety vendors and assist with reporting work-related injuries and illnesses.
  • Build and maintain strong relationships with colleagues and external partners.

Experience and qualifications:
  • Organization: Skilled in managing information requests, tracking deliverables, and prioritizing tasks.
  • Support division: Experienced in coordinating training, tracking compliance, and handling health-related tasks such as ergonomic assessments and medical checks.
  • Communication: Proficient in preparing and proofreading documents, scheduling meetings, and maintaining professional relationships.
