Role Summary - Administrative Assistant Operations
Provide general administrative support. Research and prepare a wide variety of information requests, drawing data from a variety of sources within and outside the department. Route or answer routine correspondence and maintain confidential department records and files.
Responsibilities
- Administration: Produce, update, and provide support on documents, databases, and other departmental systems; use expertise to help improve processes.
- Office and Organizational Skills: Be resourceful and proactive, utilizing strong organizational skills and time management.
- Correspondence: Prepare emails, reports, agendas, and meetings notes as needed.
- Data Collection and Reporting: Collect and organize data using pre-set tools, methods, and formats to generate standard reports.
- Document Preparation: Prepare required documents and tracking using a variety of applications such as Microsoft Office and other standard office software.
- Data Compliance: Understand data collection, processing, and protection rules and regulations to achieve compliance that matches organization objectives and applicable laws.
- Business Meetings / Events: Schedule appointments, arrange meetings and conferences, and organize travel plans, as needed.
- Operational Compliance: Develop knowledge and understanding of the organization's policies and procedures and of relevant regulatory codes and codes of conduct to ensure adherence to those standards.
- Sales: Register customer offers & orders on SAP in collaboration with other internal entities.
- Management of Customer / Client portal: Internal registration and documents uploading.
- Procurement: Support others by carrying out a range of procurement activities on SAP.
- Other duties as assigned / Support colleagues in daily activities.
Qualifications / Preferred Experience
- Software: Good knowledge of SAP and Excel.
- Invoicing & data transmission, declaration of intent, VAT exemptions.
- Customer Service: Knowledge of customer service principles and practices.
- Verbal Communication: Uses clear and effective verbal communication skills to express ideas and request actions.
- Experience: 2 years relevant experience in a similar company or GDO.
