Position Overview

We seek a highly organized, multilingual Administrative Specialist to provide comprehensive support in office management, executive liaison, and procurement coordination. This role requires fluency in Italian, English and Mandarin Chinese, meticulous process management, and expertise in handling administrative procurement from tender to contract execution.

Key Responsibilities

Office Management and Reception

  • Oversee day-to-day office operations, including supplies, facilities, fleet, vendor coordination, and equipment maintenance.
  • Manage front desk operations, greet visitors and keep guest registration.
  • Provide direct administrative support to the company president, providing administrative and operational support.
  • Procurement Coordination Lead end-to-end procurement processes, ensuring compliance with procurement policies and vendor agreements.

Inventory & Asset Control

  • Track administrative assets : gifts, stationery and marketing materials.
  • Maintain logs for usage, maintenance, and inventory levels.

Team Events & Culture Support

  • Organize internal events, team-building activities, and seasonal celebrations.
  • Support company culture initiatives and internal communications.

Qualifications

  • Bachelor’s degree with at least 2-years’ experience in administration.
  • Proactive, problem-solving mindset, strong attention to detail and discreet with sensitive information.
  • Warm, professional demeanor and team spirit.
  • Strong organizational, structuring, and planning skills.
  • Professional fluency in Italian, English, speaking Chinese is a must.
  • Advanced Ms Office skills, especially Excel.
