Manpower in partnership with Ball Corporation is seeking an Experience Administrative Coordinator with Accounts Payable skills for their Global Total Rewards Department. In Office Position

  • This is a contract position through the end of December

Location : Wesminster, CO

Employment Type : 30 hours / week PART TIME / CONTRACT POSITION

Department : Global Total Rewards

Reports To : Vice President, Global Total Rewards

About the Role

We are seeking a highly organized and proactive Department Coordinator to support the leadership and broader team within our Global Total Rewards department. This role is essential in ensuring smooth departmental operations through executive support, budget management, and project coordination. The ideal candidate will be a confident communicator, detail-oriented, and capable of managing multiple priorities in a dynamic environment.

Administrative Support

  • Manage calendars for the VP and department Directors, including scheduling, changes, and cancellations.
  • Coordinate travel arrangements, accommodations, and ground transportation.
  • Organize department functions, celebrations, and meetings, including food services and logistics.
  • Prepare and submit travel and expense reports.
  • Serve as a liaison for internal and external inquiries.
  • Act on behalf of department leaders during absences, ensuring timely communication and issue resolution.
  • Department Financials

  • Lead the strategic planning and preparation of the department’s annual operating budget (~$20M).
  • Conduct quarterly financial reconciliations and reforecasting in collaboration with department leadership.
  • Oversee day-to-day financial activities, including variance reporting and discrepancy resolution.
  • Manage third-party work orders, vendor setup, and purchase order creation.
  • Ensure accurate and timely accounts payable processing in partnership with Finance and Shared Services.
  • Project Coordination & Process Optimization

  • Draft internal communications, presentations, and reports.
  • Lead onboarding for new hires, including remote setup coordination.
  • Co-lead and execute departmental projects, providing research and analysis as needed.
  • Represent the department in general business activities (e.g., facilities, IT, emergency services).
  • Qualifications

  • Proven experience in executive support, financial coordination, and project management.
  • Strong organizational and communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to manage confidential information with discretion.
