A leading financial services firm in Milan is looking for an experienced Administrative Support professional. The role demands 3–5 years of corporate experience, proficiency in Microsoft Office, and excellent communication skills in both English and Italian. Responsibilities include preparing T&E reports, scheduling meetings, and providing secretarial support. This position offers the opportunity to work in a dynamic environment focused on teamwork and compliance.

Competenze

  • 3-5 years of relevant corporate experience.

Mansioni

Role / Responsibilities

  • Travel & Entertainment:
    Timely and accurate preparation and submission of T&E reports for each supported team member, ensuring compliance with company policies and proper documentation.
  • Ensure all receipts are included from staff.
  • Monitor and inform managers if any receipts are missing.
  • Screen for inconsistencies adhering to T&E policy.
  • Monitor expense reports monthly for manager approval; escalate delays.
  • After approval, submit paper copies to accounts.
  • Ensure client billable expenses are invoiced.
  • Assist finance as needed.
  • Escalate issues to your manager.
  • Meeting Coordination: Assist with scheduling meetings, reserving rooms, security passes, teleconference setup, refreshments, and handouts.
  • General Administrative Support: Provide secretarial support such as copying, scanning, and spreadsheet management. Understand Moody’s business to deliver optimal service.
  • Phone Coverage: Answer calls professionally, take messages, and coordinate coverage during absences.
  • Administrative Backup: Provide support during vacations and absences to ensure uninterrupted operations.
  • Liaison: Act as a liaison with Facilities regarding equipment and building issues.
  • Other: Perform additional tasks as assigned.

Qualifications

  • 3-5 years of relevant corporate experience.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
  • Ability to create and modify basic communications and spreadsheets.
  • Good organizational skills.
  • Excellent phone manner and communication skills in English and Italian.
  • Ability to multitask and adapt to shifting priorities.
  • Strong teamwork orientation.
