Job summary

Ugaoo in Gurugram is hiring an Admin Executive - Warehouse to manage day-to-day administrative tasks, maintain records, coordinate with internal teams and vendors, and ensure compliance with policies. Qualifications

  • 2–5 years of experience in Warehouse/Office Admin or Facility Mgmt.
  • Experience in warehouse or logistics operations preferred.

Responsibilities

  • Maintain warehouse administrative records and documentation.
  • Prepare and maintain reports related to warehouse operations.
  • Handle inward and outward correspondence, courier management, and filing.
  • Coordinate with the Head Office for administrative requirements.
  • Coordinate with vendors for housekeeping, security, pantry, maintenance, and other facility services.
  • Monitor vendor performance and ensure timely service delivery.
  • Raise purchase requests and follow up on approvals and payments.
  • Maintain records of office assets, furniture, laptops, printers, and other equipment.
  • Ensure availability of office stationery, pantry items, and housekeeping materials.
  • Coordinate onboarding for new employees and maintain attendance records.
  • Support HR in employee engagement and welfare activities.
  • Coordinate travel and accommodation arrangements when needed.
  • Maintain statutory and administrative records and support audits.

Job Summary

The Admin Executive - Warehouse is responsible for managing day-to-day administrative activities to ensure smooth warehouse operations. The role includes maintaining records, coordinating with internal teams and vendors, managing office supplies and facilities, supporting employee administration, and ensuring compliance with company policies.

Key Responsibilities
  • Administrative Support
    • Maintain warehouse administrative records and documentation.
    • Prepare and maintain reports related to warehouse operations.
    • Handle inward and outward correspondence, courier management, and filing.
    • Coordinate with the Head Office for administrative requirements.
  • Vendor & Facility Management
    • Coordinate with vendors for housekeeping, security, pantry, maintenance, and other facility-related services.
    • Monitor vendor performance and ensure timely service delivery.
    • Raise purchase requests and follow up on approvals and payments.
  • Asset & Inventory Management
    • Maintain records of office assets, furniture, laptops, printers, and other equipment.
    • Ensure proper issuance and tracking of company assets.
    • Coordinate repairs, replacements, and preventive maintenance.
  • Office Administration
    • Ensure availability of office stationery, pantry items, and housekeeping materials.
    • Monitor cleanliness and maintenance of office and warehouse premises.
    • Manage meeting rooms and office arrangements as required.
  • Employee Support
    • Coordinate onboarding arrangements for new employees.
    • Maintain attendance and administrative records.
    • Support HR in employee engagement and welfare activities.
    • Coordinate travel, accommodation, and other administrative requirements when needed.
  • Compliance & Documentation
    • Maintain all statutory and administrative records.
    • Ensure compliance with company policies and warehouse administrative procedures.
    • Support internal and external audits by providing required documentation.
  • Coordination
    • Work closely with Warehouse, HR, Finance, Procurement, IT, and other departments.
    • Ensure timely resolution of administrative issues.
    • Coordinate with external agencies and service providers.
Required Qualifications
  • Bachelor's degree in Business Administration, Commerce, or any relevant field.
  • 2–5 years of experience in Warehouse Administration, Office Administration, or Facility Management.
  • Experience in warehouse or logistics operations will be preferred.
Required Skills
  • Strong administrative and organizational skills.
  • Good communication and interpersonal skills.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Knowledge of ERP systems (Ginesys, SAP, or similar) is an added advantage.
