Required Qualifications & Experience
- Experience: 3 – 4 years of hands-on experience in corporate /manufacturing transport management, fleet operations, or logistics administration.
- Industry Knowledge: Strong understanding of local transport regulations, motor vehicle acts, and labour compliance relevant to transport operations.
About the role:
Operations & Fleet Management
- Oversee end-to-end daily transport operations for employee commuting (cab/bus fleets) and customer-facing transit requirements.
- Utilize advanced transport management software/tools to optimize route planning, roster scheduling, vehicle tracking, and capacity utilization.
- Ensure 100% adherence to safety protocols, transport compliance laws, driver licensing, and vehicle fitness standards.
- Establish standard operating procedures (SOPs) for emergency response, vehicle breakdowns, and route diversions.
- Keep route chart and master updated.
- Work with CFT to get roasters and plan the transport ops.
- Maintain 90% + occupancy throughout the transport operations.
- Transport Vendor and contract performance evaluations (KPIs/SLAs), and contract renewals.
- Track OTA and OTD.
- Ensure compliance w.r.t to govt norms, regulation and policies.
- Maintain strong relationships with external logistics providers, cab aggregators, and fleet vendors.
Financial Control, Billing & SAP Integration
- Manage the complete billing lifecycle—verifying vendor invoices against logs, trip sheets, and GPS tracking data before submission.
- Execute purchase requisitions (POs), service entry sheets (SES), and invoice processing within SAP.
- Analyze monthly transport expenditure against budgets, identifying cost variances and implementing corrective actions.
Audits, MIS & Compliance
- Maintain comprehensive Management Information System (MIS) reports detailing fleet efficiency, cost-per-kilometre, cost per employee, transit times, and vehicle utilization.
- Conduct regular physical and operational audits of fleet vehicles, driver behaviour, and safety equipment.
- Monitor driver compliance (background checks, duty hours, alcohol checks) and statutory documentation (insurance, pollution certificates).
Technical & Functional Skills
- ERP Proficiency: Solid working knowledge of SAP (SAP modules for PR creation, billing verification, and invoicing and SES process)
- Transport Tools: Direct experience using automated transport management software (TMS), GPS tracking platforms, and route-optimization tools.
- Data Analytics: Advanced proficiency in MS Excel for MIS generation, pivot reporting, and cost-trend analyses.
- Strong analytical and vendor management skills.
- Excellent problem-solving abilities and dynamic crisis management under pressure.
- High attention to detail in audits, billing, and SLA tracking.
- Strong communication skills to liaise with internal stakeholders, vendors, and customers.
