Position Overview

The Student Development Associate will play a key operational role within the Student Development (SD) team, directly contributing to the successful execution, monitoring, and continuous improvement of all SD initiatives. This individual will serve as the on-ground representative of the department, ensuring the quality and effectiveness of student-facing programs, maintaining strong stakeholder coordination, and strengthening student engagement through proactive communication and social media management.

The Associate will directly support key initiatives, including Outbound Programs, Wrap Around Support, Student Clubs, the Work Exposure Program (WEP), and additional activities as required.

Key Responsibilities:

  • Program Development & Planning
  • Execute activities detailed under various program areas including campus-specific development and vendor coordination

Execution & Monitoring

  • Roll out program plans and documentation to campuses.
  • Coordinate logistics including transport and venue arrangements.
  • Process payments after quality checks.
  • Conduct monthly audits to ensure program quality and consistency across campuses.

Review & Showcase

  • Prepare mid-year and end-of-year showcase events.
  • Collect structured feedback from students and vendors.
  • Analyse feedback for continuous improvement.

Program Oversight

  • Regularly visit campuses to observe major activities in action.
  • Maintain ongoing communication with coordinators for updates and challenges.

Content & Documentation

  • Collect and review campus-uploaded activity documents for completeness and accuracy.
  • Develop “Year 2 Legacy” plans to ensure program sustainability.
  • Maintain and regularly update the SLP website with new projects and resources.

Communications & Events

  • Prepare a growth team plan and oversee its execution for program visibility.
  • Plan and execute the annual SLP showcase in February.
  • Gather and analyse feedback to measure impact and refine programming.

Governance & Structure

  • Create and maintain detailed documentation for Student Council operations and guidelines.
  • Track timelines for elections and collect documentation from campuses.

Events & Training

  • Plan and execute Leadership Bootcamp (logistics, speaker sourcing, documentation).
  • Develop the annual Student Council training calendar and ensure implementation.
  • Source experts for monthly leadership events and coordinate with campuses for setup.

Quality & Recognition

  • Review and update council roles and responsibilities.
  • Track council involvement in campus activities.
  • Arrange year-end certifications and letters for all members.

Annual Planning

  • Review historical data and feedback to design trip experiences.
  • Shortlist vendors based on previous quality ratings and references.
  • Finalise destinations and vendors in consultation with campus coordinators.
  • Create and publish the annual outbound calendar.

Resource Development

  • Review, update, and print the Outbound Learning Journal.

5. Final Year Retreat / Transition Trips / Seasonal Camps (Dussehra, Christmas, Summer)

Pre-Event Planning

  • Identify and confirm vendor partners.
  • Roll out communication to campuses and follow up for confirmations.
  • Process vendor payments after confirmation.

Staff & Logistics Coordination

  • Conduct staff briefings.
  • Prepare detailed checklists and on-the-day guidelines.
  • Coordinate transport arrangements with campuses and vendors.

Post-Event Review

  • Collect feedback from students, teachers, and vendors.
  • Analyse feedback for program improvement.

6. Field Trips

Planning & Content Development

  • Review previous trip themes and locations; identify opportunities for improvement.
  • Develop a grade-wise and campus-wise trip calendar.
  • Create learning plans and outcomes tailored to each location.

Execution

  • Confirm venues and transport arrangements.
  • Process payments and ensure vendors meet agreed standards.
  • Collect and evaluate feedback from participants.

7. Summer Camp

Program Design

  • Develop unique camp activities for each campus.
  • Coordinate with vendors for activity design and pricing.

Marketing & Rollout

  • Prepare marketing plan and materials.
  • Work closely with campuses and vendors for smooth execution.
  • Coordinate with parents for transport arrangements.
  • Adapt plans in real time to address challenges.

Closure

  • Organise and execute the camp showcase.
  • Collect feedback from students, parents, and vendors.

8. Work Exposure Program

  • Identify partner organisations and define student roles and learning outcomes.
  • Create program documentation and WEP website.
  • Draft and finalise MOUs with partner organisations.

Execution

  • Confirm student placements and schedule orientation sessions.
  • Provide all necessary information to students before the internship start.
  • Maintain ongoing communication with both students and partners during internships.

Closure

  • Collect media and collateral for growth team.
  • Gather and analyse participant and partner feedback.

9. Friends of Ekya (FoE)

  • Develop and distribute FoE interest form to parents.
  • Maintain and regularly update FoE database.
  • Match FoE experts to relevant campus initiatives.
  • Create and send monthly FoE newsletter highlighting contributions and upcoming opportunities.

10. General Quality Assurance & Communications

  • Conduct on-ground visits to campuses to observe program delivery.
  • Ensure vendor adherence to agreed standards and timelines.
  • Track and monitor all initiatives through detailed reporting systems.
  • Manage SD social media presence to showcase programs and student experiences.
  • Strong interpersonal and communication skills - able to engage effectively with students, educators, and other internal stakeholders.
  • Demonstrated ability to plan and execute programs/events, track progress and ensure follow-through.
  • Comfortable with on-ground execution and presence at school or campus sites
  • Highly organised, detail oriented, and proactive in identifying and solving problems.
  • Ability to adapt in a fast paced environment and contribute to a growing, evolving team structure.

Key Qualifications & Experience:

  • Bachelor's Degree in Education, Psychology, Communication, Social Work, or a related field. Masters degree is a plus
  • 1-3 years of relevant experience in program coordination, student engagement, education related operations or youth-focused organizations
