The Sr. Sales Coordinator will support the sales and business development team in managing customer accounts, coordinating project proposals, preparing quotations, and ensuring smooth communication between clients, operations, and logistics teams. The role is key to ensuring timely order execution, accurate documentation, and excellent client service in the refrigeration and cold chain logistics segment.
Key Responsibilities
- Assist the sales team in preparing and following up on quotations, tenders, and project proposals for cold rooms, reefer trucks, and refrigeration systems.
- Coordinate with technical, procurement, and operations teams to ensure feasibility, pricing accuracy, and delivery timelines.
- Track project status, from lead generation to installation or dispatch, ensuring timely communication to all stakeholders.
- Maintain an organized database of client interactions, quotations, and sales documentation in CRM or ERP systems.
- Order Processing & Documentation
- Process customer purchase orders and coordinate with the logistics and finance teams for billing, invoicing, and dispatch.
- Prepare and maintain sales reports, order trackers, and monthly performance dashboards.
- Ensure all documentation (such as POs, service contracts, and AMC agreements) is accurate and complete.
- Customer Relationship & Support
- Handle client inquiries, provide updates on order and delivery status, and ensure timely after-sales coordination.
- Support account managers in managing key customer relationships, particularly for B2B clients (e.g., food processors, pharma distributors, logistics companies).
- Coordinate after-sales service calls or warranty support in collaboration with the service department.
- Schedule sales meetings, prepare meeting minutes, and circulate follow-up action points.
- Coordinate marketing activities such as trade shows, product demos, and client visits.
- Support management in compiling sales forecasts, pipeline updates, and performance reviews.
Qualifications & Skills
- 5-6 years of experience in sales coordination or inside sales, preferably in HVAC, refrigeration, or cold chain logistics industries.
- Bachelor’s degree in Business Administration, Marketing, Mechanical / Electrical Engineering, or a related field.
- Strong communication and interpersonal skills with a customer-first mindset.
- Proficient in MS Excel, PowerPoint, Tally ERP.
- Ability to multitask and manage deadlines in a fast-paced technical sales environment.
- Strong organizational and coordination abilities.
