The Language ProgrammeAdministrator provides administrative support for the modern languageprovision at the University of Law. Working closely with the Head of ModernLanguages, the postholder supports the administration of language modules, develops and maintainsprogramme records, responds to routine enquiries, prepares documentation andcommunications, and assists with a range of administrative activities thatcontribute to an excellent student and staff experience. The role isadministrative in nature and does not carry responsibility for academicdecision-making, curriculum development, programme leadership or strategicplanning.

Main Function of Job:
The Language ProgrammeAdministrator provides administrative support for the modern languageprovision at the University of Law. Working closely with the Head of ModernLanguages, the postholder supports the administration of language modules, develops and maintainsprogramme records, responds to routine enquiries, prepares documentation andcommunications, and assists with a range of administrative activities thatcontribute to an excellent student and staff experience. The role isadministrative in nature and does not carry responsibility for academicdecision-making, curriculum development, programme leadership or strategicplanning.
Responsible for:
- Providingadministrative support for the new Language Programme
- Responding toroutine enquiries from students and staff.
- Maintainingaccurate programme records and documentation.
- Supporting studentenrolment and registration processes.
- Organising meetingsand maintaining administrative records.
- Preparing routinereports, correspondence and programme documentation.
- Updating programmeinformation on University systems and webpages.
- Providingadministrative support for programme communications and events.
Providing administrative support to theHead of Modern Languages.
Reporting Line:
- Language Programme Administrator will report directly to the Head ofModern Languages
Specific Responsibilities:
- Develop, implementand maintain administrative processes, workflows, templates andrecord-keeping systems to support the effective operation of the LanguageProgramme, under the direction of the Head of Modern Languages.
- Undertakeadministrative tasks associated with the delivery of the Language Programme.
- Maintain accuratestudent, module and lecturer records and support enrolment and registrationactivities as required.
- Monitor and respondto enquiries received through shared mailboxes and other communicationchannels.
- Maintain records inaccordance with University policies and procedures.
- Prepare routineadministrative reports and documentation.
- Support datacollection activities for reporting purposes.
- Identify opportunities to improve administrativeprocesses and systems and make recommendations to the Head of ModernLanguages.
- Act as the firstadministrative point of contact for Visiting Language Lecturers.
- Collect and submitteaching claims and payment documentation in accordance with Universityprocedures.
- Maintain recordsrelating to teaching hours and payments.
- Supportadministrative aspects of onboarding new Visiting Language Lecturers asrequired.
Meetings and Events
- Arrange meetings onbehalf of the Head of Modern Languages.
- Prepare agendas andcirculate meeting papers.
- Take minutes andmaintain action logs.
- Organise roombookings and online meeting arrangements where required.
Communications
- Update programmeinformation on relevant University webpages and systems.
- Draft anddistribute routine communications to students, staff and visiting lecturers.
- Support thepreparation and distribution of programme updates.
- Maintaindistribution lists and contact databases.
Customer Service
- Provideprofessional, accurate and timely responses to enquiries.
- Escalate academicor complex matters to the Head of Modern Languages as appropriate.
- Support a positiveexperience for students, staff and visiting lecturers through the delivery ofhigh-quality administrative support.
Team Working
- Workcollaboratively with colleagues across Academic Development and the widerUniversity.
- Contribute to apositive, professional and supportive working environment.
- Undertake otherduties appropriate to the grade of the post as reasonably requested.

Qualification
Educated to ALevel standard or equivalent professional experience.
