Shopify Operations Specialist

Position Summary

The Shopify Operations Specialist manages the daily execution of our Shopify store backend, inventory systems, and fulfilment workflows. This role ensures a seamless post-purchase customer experience by keeping product data accurate, tracking fulfilment efficiency, and managing third-party app integrations.

Key Responsibilities

• Shopify Store Administration: Manage the backend dashboard, including product
• uploads, pricing updates, discount codes, and collections.
• Order & Fulfillment Monitoring: Oversee daily order processing, identify stuck orders, and coordinate with fulfillment centers or 3PLs using Shopify-integrated apps.
• Inventory & App Management: Monitor stock levels across multi-location inventories, update inventory counts, and maintain Shopify apps (e.g., subscription tools, ERP connectors, inventory syncers).
• Data & Reporting: Analyze Shopify Analytics data regarding shipping costs, return rates, and order processing times to identify operational bottlenecks.
• Returns & Fraud Prevention: Evaluate flagged high-risk orders using Shopify FraudAnalysis and manage reverse logistics for customer returns.
• Required Skills & Qualifications
• Shopify Expertise: Deep familiarity with the Shopify dashboard, theme customizer basics, and the Shopify App Store ecosystem.
• Tech Stack Familiarity: Experience connecting Shopify to external tools like Klaviyo, Gorgias, Ship Station, or native ERPs.
• Data Literacy: Strong skills in Excel or Google Sheets for bulk product uploads via CSV files and inventory matrix management.
• Problem Solving: Quick at troubleshooting checkout errors, inventory mismatches, or shipping rate miscalculations.
• Experience: 2+ years managing a live, high-volume Shopify or Shopify Plus storefront.

Preferred candidate profile

• Order Management: Monitor daily order flows, transaction accuracy, and prompt handoff from checkout to fulfillment.
• Inventory Control: Track stock levels across platforms, prevent stockouts, and reconcile monthly inventory reports.
• Logistics Coordination: Partner with shipping carriers and 3PL providers to maintain delivery timelines and track last-mile performance.
• Catalog & Platform Maintenance: Update product listings, pricing changes, and promotional discounts across web stores or marketplaces.
• Returns & Customer Support: Oversee reverse logistics, process product exchanges, and resolve post-purchase customer escalations.

Required Skills & Qualifications

• Technical Proficiency: Experience with major e-commerce platforms, Order Management Systems (OMS), and Warehouse Management Systems (WMS).
• Data Analysis: Strong command of spreadsheet tools (advanced Excel, pivot tables) to analyze operational metrics and report performance.
• Communication: Ability to troubleshoot supply chain bottlenecks and coordinate cross-functional goals with marketing, finance, and tech teams.
