What You'll Do
This position serves as a key secretarial and administrative support to the MDs and Partners. You will take full responsibility for maintaining their demanding schedules, be highly involved in their business activities, and handle confidential information with utmost discretion. The goal is to leverage the Principals and Partners’ time and enable them for client services. You may work as a team with other secretaries within India and may be asked to back up other support staff. You will continue to grow within the role, learn new tasks, improve on established ones, and adapt work styles to support changing needs.
The duties described below comprise a typical, but not necessarily complete list:
- Calendar, meeting, and travel management
- Actively manages calendars with an understanding of business priorities, providing alternatives and timely reminders
- Proactively follows up on emails and determines next steps from a scheduling perspective
- Organizes travel arrangements and coordinates logistics, including directions and visa processing
- Supports business development activities
- Manages client contacts/database, ensuring accurate input of new client contacts
- Telephone answering and screening, including cold calls for the Practice Area
- Supports case works
- Prepares timesheets and expense reports for assigned MDs/Partners
- Keeps resumes updated and shares upon request after Partners’ review
- Other responsibilities and team contributions
- Assists MDs/Partners with administrative tasks to leverage time, including reimbursements, insurance claims, travel days for tax filing, memoranda, slide decks, etc.
What You'll Bring
- Any graduation degree
- 12-15 years of secretarial experience in professional services or multinational companies
- Proficiency in operations of reception board
- Excellent oral and written English communication
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Strong interpersonal skills and ability to work with all levels of staff
- Excellent organizational skills, ability to set priorities, attention to detail, and tenacious follow-ups
- Professional image with high standards of behavior and ethics
- Team player, highly motivated, energetic, resourceful, and friendly
- Service-oriented, flexible, and able to work under pressure
- Demonstrates accountability and ownership
