What You’ll Do

This position serves as a key secretarial and administrative support to the MDs and Partners. Taking full responsibility for maintaining their demanding schedules and being highly involved in all of their business activities, the individual is expected to act with initiative and pro‑activeness, handling confidential information with utmost discretion. The goal is to leverage the Principals and Partners’ time and enable them for client services. This position is also expected to work as a team with other secretaries within India and may also be assigned by the supervisor to back up other support staff. Throughout their career, SEAs will continue to grow within the role, learn new tasks, improve established ones, integrate best practices among their cohort, and adapt the work style to best support the changing needs of the Principals and Partners they support. Activities will vary depending on their work style and the existing workload.

The duties described below make up a typical, but not necessarily complete list:

  • Calendar, meeting, and travel management
    • Actively manages calendars for the assigned MDs and Partners, offering alternatives, trade‑offs, and consideration of the most efficient use of their time and providing timely reminders as necessary.
    • Proactively follows up on emails when copied and determines the most appropriate next steps from a scheduling standpoint.
    • Organizes travel arrangements; anticipates and coordinates point‑to‑point travel and logistics, including directions, commuting time, ground transportation, passport and visa processing.
  • Supports business development activities
    • Manages and administers client contacts/database, ensuring accuracy and timely input of new client contacts.
    • Answers phones and screens calls, including cold calls for the Practice Area the assigned MDs and Partners are responsible for.
  • Supports case works
    • Prepares assigned MDs and Partners’ timesheet and expense report according to company guidelines.
    • Keeps track of assigned Principals and Partners’ resume profiles, updates and translations, and sends resumes upon request after review.
  • Other responsibilities and team contributions
    • Assists assigned MDs and Partners with additional administrative tasks to leverage time, which may include reimbursement, medical insurance claims, tracking of travel days associated with tax filing overseas, memoranda, slide decks, etc.
