As a Regional Scheduling Assistant (RSA) it is expected that you are able to drive structured advisor engagement, precise calendar optimization, and consistent adherence to scheduling processes and standards. The role combines high-volume proactive outreach, real-time Salesforce data management, and SOP-driven execution, ensuring a seamless advisor experience.Strategic Scheduling & Advisor Engagement (40%)Proactively contact advisors via phone/email to schedule meetings aligned to PCD’s priorities and advisor segmentationDrive scheduling for:Focus advisors90-day no-contact advisorsRegional and National event follow-upsCommunicate value proposition effectively to increase advisor participationManage calendar conflicts, renegotiate schedules, and align with leader preferencesEnsure optimal calendar structure (no overload, spacing, adherence to preferences)Partner with Consulting Directors to maintain <1% no-show rateCalendar & CRM (Salesforce + Outlook) Excellence (25%)Calendar (Outlook) accuracy & updatesMaintain real-time updates for all scheduling activities in Salesforce and OutlookEnsure:Accurate meeting details (time zone, participants, agenda)Alignment with leader preferences and availabilityNo duplicate or conflicting entriesProactively manage calendars, avoid scheduling during PTO; prevent back-to-back meetings beyond agreed limits, manage reschedules etc.Send:Immediate confirmations post schedulingReminder emails (1 day prior or as per preference)Salesforce data Accuracy & Real-Time UpdatesEnter all appointments immediately in Salesforce after scheduling ; Ensure 100% real-time CRM hygiene and reporting accuracyLog all call/email activities daily with complete detailsTrack engagement, advisor attendance, and scheduling metrics in Salesforce.Operational Excellence & Reporting (20%)Track weekly scheduling performance and maintain95% cadence adherenceShare weekly reports with Consulting Directors by the end of last working day (90% closure)Setup and Lead regular 1:1 connects with the Product Consulting Directors to discuss action plans, scheduling and expense management updates and other strategic planning.Share Minutes of the meeting reports with Consulting Director with copy to IND/US business partners within 24 hours with action tracking (90% closure).Identify and implement at least 2 process improvements annually in:Scheduling workflowsSalesforce data accuracyQA processesLeverage reporting insights to improve advisor engagement and efficiencyCollaborate closely with Product Consulting Directors, and peersInfluence adherence to:Scheduling disciplineProfile preferencesEvent timelines and follow-upsBuild strong relationships with advisors and staff to enhance scheduling success.Expense & Compliance Management (10%)Prepare, review, and submit Concur expense reports within policy timelinesEnsure, accuracy, completeness, and compliance of submissionUse correct cost center allocation, mileage allocationProvide feedback and document best practices for expense managementEvent, Travel & Additional Support (5%)Support Product Consulting Directors in:Organizing local advisor engagement eventsScheduling branch meetingsAct as backup for peers and ensure seamless coverage during absencesRequired QualificationsExperience in outbound calling/tele-sales or voice-based BPO roles, with proven ability to manage high-volume outreach, follow structured scripts, and achieve appointment conversion targets.Strong communication, influencing and objection-handling skills, with experience using CRM tools (e.g., Salesforce) in a metric-driven, quality-focused environment.Experience in handling calendars, expense, and travel management.Ability to manage multiple time zonesExperience supporting US-based or multinational stakeholdersHigh attention to detail and ability to multitaskProven ability to work independently with high accountabilityProficient in Outlook, Excel, Salesforce, MS Teams, Sharepoint, Box, AribaDetail oriented.Ability to recognize financial impacts and respond or escalate, as appropriate.Ability to take initiative and remain team player, act proactively, and think creatively.Ability to work independently following established procedures.In-Office CollaborationWe are a client-centric, relationship-based business.
