Job Overview
Partner with Regional Product Consulting Directors (PCD) to drive high-impact advisor engagement through strategic scheduling, proactive calendar management, and operational excellence. As a Regional Scheduling Assistant (RSA) you will drive structured advisor engagement, precise calendar optimization, and consistent adherence to scheduling processes and standards. The role combines high-volume proactive outreach, real‑time Salesforce data management, and SOP-driven execution, ensuring a seamless advisor experience.
Responsibilities
- Strategic Scheduling & Advisor Engagement (40%)
- Proactively contact advisors via phone/email to schedule meetings aligned to PCD’s priorities and advisor segmentation.
- Drive scheduling for focus advisors, 90‑day no‑contact advisors, and regional and national event follow‑ups.
- Communicate value proposition effectively to increase advisor participation.
- Manage calendar conflicts, renegotiate schedules, and align with leader preferences.
- Ensure optimal calendar structure (no overload, proper spacing, adherence to preferences).
- Partner with Consulting Directors to maintain <1% no‑show rate.
- Calendar & CRM (Salesforce + Outlook) Excellence (25%)
- Maintain Outlook calendar accuracy and updates.
- Maintain real‑time updates for all scheduling activities in Salesforce and Outlook.
- Ensure accurate meeting details (time zone, participants, agenda) and alignment with leader preferences.
- Avoid duplicate or conflicting entries; do not schedule during PTO or back‑to‑back meetings beyond agreed limits.
- Send immediate confirmations post scheduling and reminder emails (1 day prior or as per preference).
- Enter all appointments immediately in Salesforce after scheduling; ensure 100% real‑time CRM hygiene and reporting accuracy.
- Log all call/email activities daily with complete details.
- Track engagement, advisor attendance, and scheduling metrics in Salesforce.
- Operational Excellence & Reporting (20%)
- Track weekly scheduling performance and maintain ≥95% cadence adherence.
- Share weekly reports with Consulting Directors by the end of the last working day (≥90% closure).
- Set up and lead regular 1:1 connects with the Product Consulting Directors to discuss action plans, scheduling, and expense management updates.
- Share minutes of meeting reports with Consulting Directors and additional business partners within 24 hours with action tracking (≥90% closure).
- Identify and implement at least 2 process improvements annually in scheduling workflows, Salesforce data accuracy, and QA processes.
- Leverage reporting insights to improve advisor engagement and efficiency.
- Influence Adherence To
- Scheduling discipline, profile preferences, event timelines and follow‑ups.
- Build strong relationships with advisors and staff to enhance scheduling success.
- Expense & Compliance Management (10%)
- Prepare, review, and submit Concur expense reports within policy timelines.
- Ensure accuracy, completeness, and compliance of submission.
- Allocate correct cost center and mileage.
- Provide feedback and document best practices for expense management.
- Event, Travel & Additional Support (5%)
- Support Product Consulting Directors in organizing local advisor engagement events.
- Schedule branch meetings.
- Act as backup for peers and ensure seamless coverage during absences.
Required Qualifications
- Experience in outbound calling/tele‑sales or voice‑based BPO roles with proven ability to manage high‑volume outreach, follow structured scripts, and achieve appointment conversion targets.
- Strong communication, influencing and objection‑handling skills; experience using CRM tools (e.g., Salesforce) in a metric‑driven, quality‑focused environment.
- Experience managing calendars, expense, and travel management.
- Ability to manage multiple time zones.
- Experience supporting US‑based or multinational stakeholders.
- High attention to detail and ability to multitask.
- Proven ability to work independently with high accountability.
- Proficiency in Outlook, Excel, Salesforce, MS Teams, SharePoint, Box, Ariba.
- Detail oriented with ability to recognize financial impacts and respond or raise issues as appropriate.
- Initiative, proactive, creative thinking, and team player mentality.
- In‑office collaboration: work in office at least three days per week, with flexibility to work from home two days per week.
