Job summary

StorySideUp is seeking a Sampling Coordinator for our fashion division in India. You will translate design briefs into production instructions, maintain a master sample tracker, and ensure on-time delivery by coordinating with pattern masters and suppliers.

You will attend fit sessions, document corrections, and communicate construction or production constraints back to designers with practical solutions. This role requires meticulous record-keeping and proactive problem-solving.

Responsibilities

• Receive design briefs, sketches, reference boards, and tech packs and translate them for production and pattern teams
• Maintain master sample tracker with development stages, owners, actions, dates, and approvals
• Coordinate with pattern masters to ensure accurate interpretation before cutting
• Daily follow-up with sampling floor to meet timelines and address delays
• Track sample trials (first fit, revision, second fit) and relay feedback clearly to craftspeople
• Serve as single point of contact between Design and Production for sampling activity
• Attend fit sessions and design reviews, documenting corrections and ensuring follow-up
• Communicate production constraints or challenges back to designers with solution-oriented input
• Coordinate with fabric and trim procurement to ensure timely material availability for sampling
• Manage the physical sample room including labeling, cataloguing, and archiving samples
• Maintain records for every style: design brief, BOM, pattern notes, trial comments, and final sign-off
• Prepare tech packs and supporting docs so production has unambiguous guidance
• Generate regular sampling status reports for Head of Design and upcoming milestones
• Ensure approved samples are labeled, stored, and handed over for bulk production

For a Fashion client of ours, we are looking for a Sampling Coordinator

Sample Development & Tracking

• Receive design briefs, sketches, reference boards, and tech packs from designers and translate them into clear, actionable instructions for the production and pattern team
• Maintain a master sample tracker across all active styles — stage of development, responsible person, pending actions, target dates, and approval status
• Coordinate with pattern masters to ensure designs are correctly interpreted before cutting begins
• Follow up with the sampling floor on a daily basis to ensure timelines are met and elevate delays proactively
• Track all sample trials — first fit, revision, second fit — and ensure feedback from designers is communicated accurately and completely to the relevant craftsperson

Design–Production Coordination

• Act as the single point of contact between the Design team and the Production department for all sampling activity
• Attend fit sessions and design reviews, take precise notes on corrections, and ensure every instruction is documented and followed up
• Communicate construction challenges or production constraints from the floor back to designers in a clear, solution-oriented manner — not just flagging problems but helping resolve them
• Coordinate with the fabric and trim procurement team to ensure the right materials are available at the right time for sampling — raise material requests, track delivery, and follow up on shortfalls
• Manage the physical sample room: organisation, labelling, cataloguing, and maintaining a reference library of approved and archived samples

Documentation & Process

• Maintain complete and up-to-date records for every style: design brief, BOM (Bill of Materials), pattern notes, trial comments, revision history, and final approval sign-off
• Prepare and maintain tech packs or supporting documentation as required by the design team, ensuring production has everything it needs to work without ambiguity
• Generate regular sampling status reports for the Head of Design — pending styles, approvals, delays, and upcoming milestones
• Ensure all approved samples are correctly labelled, stored, and handed over to production with complete documentation for bulk production

Timeline & Collection Management

• Work with the design team to build realistic sampling timelines against collection deadlines and market calendars
• Identify bottlenecks early — fabric delays, pattern iterations, craftsperson availability — and flag them before they become crises
• Manage priority sequencing across multiple designers and concurrent styles, especially during peak pre-collection periods
• Coordinate with production planning to align sampling capacity with bulk production schedules — ensuring sampling does not disrupt ongoing production commitments
