We are looking for a detail-oriented and experienced Payroll Specialist to manage the organization's end-to-end payroll operations and statutory compliances. The candidate will be responsible for accurate and timely payroll processing, payroll reconciliation, variance analysis, statutory compliance, employee queries, and payroll reporting.
Key Responsibilities
End-to-End Payroll Management
- Manage the complete monthly payroll cycle from payroll input collection to salary processing and disbursement.
- Validate attendance, leaves, incentives, bonuses, deductions, reimbursements, new joiners, exits, and other payroll inputs.
- Process monthly payroll accurately and within defined timelines.
- Coordinate with HR, Finance, and other stakeholders for payroll inputs, validations, and approvals.
- Handle Full & Final Settlement (F&F) for exiting employees.
Statutory Compliance
- Ensure compliance with applicable Indian payroll statutory regulations.
- Manage payroll-related compliances including PF, ESI, Professional Tax (PT), TDS, LWF, and other applicable statutory requirements.
- Ensure timely statutory payments, filings, and submissions.
- Track changes in payroll legislation and ensure appropriate implementation.
Payroll Reconciliation & Variance Analysis
- Perform monthly payroll reconciliation and identify discrepancies.
- Conduct month-on-month payroll variance analysis.
- Investigate significant changes in salary costs, headcount, deductions, reimbursements, and other payroll components.
- Validate payroll reports before final processing.
- Coordinate with relevant teams to resolve discrepancies.
Payroll MIS & Reporting
- Prepare and maintain payroll MIS and management reports.
- Generate salary statements, payroll registers, variance reports, and other payroll-related reports.
- Support Finance and management teams with payroll data and analysis.
- Maintain accurate payroll records and documentation.
Employee Payroll Support
- Handle employee queries related to salary, deductions, PF, ESI, TDS, payslips, tax declarations, and other payroll matters.
- Support employees during tax declaration and investment-proof submission.
- Ensure timely resolution of payroll-related queries and discrepancies.
HRMS & Process Management
- Maintain accurate employee payroll data in the HRMS/payroll system.
- Ensure payroll data integrity and confidentiality.
- Identify opportunities to improve payroll processes and reduce manual errors.
- Support internal and external payroll audits by providing required reports and documentation.
Required Skills
- Strong experience in end-to-end payroll management.
- Strong understanding of Indian payroll statutory compliance.
- Hands-on experience with PF, ESI, PT, TDS, LWF, and related compliances.
- Strong knowledge of payroll reconciliation and variance analysis.
- Experience in Full & Final Settlement.
- Good understanding of payroll MIS and reporting.
- Strong Excel skills, including VLOOKUP/XLOOKUP, Pivot Tables, IF formulas, and data analysis.
- Experience with HRMS/Payroll software.
- Strong analytical and problem-solving skills.
- Excellent attention to detail and accuracy.
- Ability to handle confidential employee and payroll information.
Preferred Qualifications
- Bachelor's degree in Commerce, Finance, HR, Accounting, or a related field.
- 3–6 years of relevant payroll experience.
- Experience handling payroll for a mid-sized or large workforce.
- Experience with payroll/HRMS platforms such as Keka, Darwinbox, greytHR, Zoho
- Payroll, SAP, Workday, or similar systems
