Qualifications

  • Minimum 5+ years in study abroad operations or international student services.

Responsibilities

  • Oversee end-to-end student journey from inquiry to arrival and onboarding.
  • Lead counselling, applications, admissions, and pre‑departure activities with quality outcomes.
  • Manage visa processing, documentation, and compliance across destinations.
  • Drive process improvements and establish SOPs to raise productivity and quality.
  • Mentor teams, set KPIs, and conduct performance reviews regularly.
  • Handle escalations and maintain strong stakeholder relationships.

Job description

We are looking for a dynamic and student-focused Operations Manager to oversee and drive end-to-end study abroad operations. The role will combine strategic oversight with hands‑on execution, ensuring operational efficiency, quality, compliance, and an exceptional student experience across counselling, applications, admissions, visa processing, and pre‑departure support.


The Operations Manager will be responsible for leading teams, managing operational processes, ensuring timely execution, handling escalations, and driving continuous process improvements. The role will also have strong ownership of visa operations, documentation, compliance, and visa‑related escalations to ensure a seamless student journey.


Key Responsibilities

1. Student Journey Management

  • Oversee the end-to-end student lifecycle from initial inquiry to enrollment and arrival.
  • Ensure smooth coordination across counselling, applications, admissions, visa processing, and pre‑departure activities.
  • Track student progress, timelines, pending actions, and critical deadlines to ensure timely completion.
  • Proactively identify and resolve operational bottlenecks affecting the student journey.

2. Counselling & Application Operations

  • Oversee program and university selection processes and ensure students receive appropriate guidance.
  • Supervise application processing, documentation, admissions follow‑ups, and offer management.
  • Ensure applications are accurate, complete, and submitted within defined timelines.
  • Coordinate with universities and internal teams to resolve application and admission‑related concerns.

3. Visa Operations & Compliance

  • Oversee end-to-end visa processing for students after deposit submission.
  • Ensure timely, accurate, and compliant submission of visa applications across different destinations.
  • Ensure visa documentation meets country‑specific immigration, university, and embassy requirements.
  • Review critical visa documentation and ensure high standards of accuracy and quality.
  • Monitor visa application status, deadlines, pending documents, and visa decisions.
  • Handle complex and escalated visa cases and ensure timely resolution.
  • Ensure the team remains updated on changes in immigration policies, visa regulations, and destination‑specific requirements.
  • Conduct regular audits of visa files and documentation to ensure compliance and quality.
  • Maintain accurate visa records, trackers, reports, and operational dashboards.

4. Pre‑Departure & Student Support

  • Oversee pre‑departure support for students, including travel, accommodation, finances, documentation, and other essential logistics.
  • Conduct or supervise pre‑departure briefings to ensure students are fully prepared for their international journey.
  • Ensure timely communication and support throughout the student's journey.
  • Proactively address student concerns and maintain high levels of student satisfaction.

5. Team Leadership & People Management

  • Lead, mentor, and coach operations, counselling, and visa team members.
  • Allocate workloads effectively and monitor individual and team performance.
  • Set and track team KPIs related to productivity, quality, turnaround time, and student satisfaction.
  • Conduct regular performance reviews and provide coaching and feedback.
  • Foster a culture of ownership, accountability, responsiveness, and service excellence.

6. Process Ownership & Operational Excellence

  • Identify process gaps and implement improvements to enhance operational efficiency and productivity.
  • Develop, standardize, and implement SOPs and best practices across operations and visa processes.
  • Track operational KPIs, including application turnaround time, visa processing, pending cases, productivity, quality, and customer satisfaction.
  • Prepare regular operational reports and provide insights to leadership on performance, challenges, and improvement opportunities.
  • Ensure adherence to defined processes, quality standards, and compliance requirements.

7. Stakeholder Management & Escalation Handling

  • Build and maintain strong relationships with students, parents, universities, visa partners, and internal stakeholders.
  • Collaborate closely with cross‑functional teams to ensure seamless execution of the student journey.
  • Handle escalations related to applications, admissions, documentation, visa processing, and student concerns.
  • Ensure stakeholder issues are resolved professionally and within defined timelines.

What You'll Need

  • Bachelor's degree; Master's degree preferred.
  • 5+ years of experience in study abroad operations, counselling, visa operations, or international student services.
  • Prior experience in team handling, people management, or operational leadership preferred.
  • Strong understanding of international visa processes, documentation, and compliance requirements.
  • Strong operational leadership skills with a hands‑on approach.
  • Excellent communication, stakeholder management, and problem‑solving skills.
  • Strong attention to detail and organizational abilities.
  • Ability to manage multiple priorities and complex student cases simultaneously.
  • Proficiency in CRM tools, Microsoft Office, reporting dashboards, and operational trackers.
  • Strong ownership mindset with accountability for outcomes and the ability to proactively drive tasks to completion.
  • Ability to perform effectively in a fast‑paced, target‑driven environment.
