Maxim is seeking an Internal Operations Associate to bridge Legal, Finance and HR, collaborating with the CEO to set up scalable systems during our growth phase.

You will support HR across the employee lifecycle, manage payroll, and handle vendor relationships, with a focus on reducing manual bottlenecks and ensuring smooth operations in Bengaluru.

Qualifications

• Experience in HR and operations support in a startup or fast-paced environment.
• Strong ability to manage employee lifecycle processes and payroll tasks.
• Excellent written and verbal communication, with stakeholder alignment skills.
• Keen eye for detail and ability to pre-empt issues before they arise.

Responsibilities

• People Operations: support HR lead across the employee lifecycle from sourcing to onboarding, attendance tracking, and payroll administration.
• Legal & Employee Ops: manage internal documents including offer letters, renewals, and compliance filings.
• Vendor & Workplace Management: own external vendor relationships and workplace operations (IT, admin, office maintenance).
• Accounting Liaison: coordinate with CA/CS team for monthly MIS, GST filings, and data categorization for India/US entities.
• Operational Efficiency: identify and remove bottlenecks in existing workflows.

About the Role: Operations Associate

Serving as the core of Maxim’s day-to-day environment, the Internal Operations Associate acts as a vital bridge across Legal, Finance, and HR functions. In this high-impact capacity, you will collaborate with the CEO to establish foundational systems that transition our workflows to "autopilot", facilitating seamless scalability during our growth phase.

What You’ll Do

People Operations: Support the HR lead throughout the entire employee lifecycle, from initial talent sourcing and candidate screening to onboarding, tracking attendance, and overseeing payroll administration.

Legal & Employee Ops: Manage internal documentation, including offer letters, insurance renewals, and compliance filings.

Vendor & Workplace Management: Own the relationships with all external vendors (IT, admin, office maintenance) and manage office operations like client gifting and company merchandise.

Accounting Liaison: Coordinate with external CA/CS team for monthly MIS, GST filings, and data categorization for our Indian and US entities.

Operational Efficiency: Scrutinize existing workflows to remove manual bottlenecks.

About You

You excel at getting work done through others (e.g., chasing external legal or finance teams to meet deadlines).

You possess a keen eye for detail, identifying contractual errors and monitoring office needs before others do.

You are adaptable - shifting from a high-level recruitment compliance call to managing office logistics in the same hour.

You are comfortable operating with (often uncomfortable) speed and urgency.

You communicate clearly in writing and conversation, and can align founders, team members, and external stakeholders without losing clarity.

You stay on top of everything. Nothing falls through the cracks because you're tracking it, following up, and closing loops consistently.
