PAYROLL MANAGER - JOB DESCRIPTION

Title: Payroll Manager

Reports to: Plant HR Head & Group HR Head (Dual Reporting)

Team Size: 2-3 Direct Reports

Employee Coverage: 2,000+ (Highly Unionized Manufacturing Environment)

Location: Kuntighat, Triveni

Position Summary

Lead end-to-end payroll operations for 2,000+ employees in a highly unionized plant with complex compensation (production incentives, LTS, cooperative, VPF, LIC, multi-tier allowances). Ensure 100% accuracy, statutory compliance, PMS integration, and audit-readiness while managing a team of 2-3 professionals.

Key Responsibility Areas (KRAs)

1. Payroll Processing

• Execute error-free monthly payroll for 2,000+ employees with timely disbursement
• Manage complex allowances, production incentives, and variable pay calculations

2. LTS & Union Compliance

• Ensure adherence to Long Term Settlement (LTS) and union wage agreements
• Manage payroll-related union grievances and coordination

3. PMS Integration

• Process appraisal-linked increments, bonuses, and performance pay-outs accurately

4. Statutory Compliance (PF, ESI, PT, IT)

• Execute 100% compliance: timely PF/ESI/PT remittances, TDS deductions, ECR/24Q filings, Form 16 issuance

5. PF Audit, Gratuity & Compliance Audits

• Manage PF audits, gratuity actuarial valuations (AS-15), and ensure zero audit findings

6. ERP/HRMS & Excel Mastery

• Optimize payroll systems (SAP/Oracle/HRMS), drive automation, create advanced Excel dashboards

7. MIS & Reporting

• Deliver monthly payroll cost reports, variance analysis, and real-time dashboards to leadership

8. Team Leadership

• Lead 2-3 payroll professionals with training, mentoring, and performance management

9. Audit & Risk Management

• Ensure audit-readiness, conduct monthly reconciliations, mitigate compliance risks

10. Process Improvement

• Drive automation, reduce cycle time, optimize costs, maintain updated SOPs

Qualifications-

Graduate + MBA (HR/Finance)

Experience-

10-12 years in payroll (5+ years with 1,500+ in unionized manufacturing)

Technical Skills-

Advanced Excel, ERP (SAP/Oracle), HRMS, statutory portals (EPFO/ESIC/Traces)
