We are looking for a highly organized, process-driven and result-oriented professional to lead our Billing & Operations function. The incumbent will be responsible for ensuring accurate and timely billing, seamless order processing, inventory coordination, depot operations, customer servicing and operational efficiency across the organization's distribution network. The role requires close coordination with Sales, Finance, Supply Chain, Depots, C&Fs and Customers to ensure smooth business operations and superior service levels.

Responsibilities

• Billing & Order Processing
  • Ensure accurate and timely processing of customer orders, invoices, credit notes and debit notes.
  • Monitor billing accuracy, pricing compliance, schemes, discounts and commercial terms.
  • Coordinate with Sales and Finance teams to resolve billing-related queries and discrepancies.
  • Ensure adherence to billing SOPs, controls and documentation requirements.
• Operations & Supply Chain Coordination
  • Oversee end-to-end order execution from order receipt to delivery.
  • Coordinate with depots, warehouses, transporters and C&F agents to ensure timely dispatches.
  • Monitor inventory availability and ensure uninterrupted supplies to customers.
  • Track order fulfilment, pending orders and service levels across locations.
• Depot & Distributor Management
  • Coordinate with depots and C&Fs across India for smooth operational execution.
  • Monitor depot performance, inventory movements and operational compliance.
  • Support distributor onboarding, operational issue resolution and customer servicing.
• MIS, Reporting & Analytics
  • Prepare and analyze daily, weekly and monthly operational MIS reports.
  • Track billing volumes, order processing timelines, service levels and operational KPIs.
  • Provide management with actionable insights and recommendations to improve operational efficiency.
• Process Improvement & Controls
  • Develop and implement SOPs, controls and best practices across billing and operations functions.
  • Identify bottlenecks and drive process improvements to enhance productivity and accuracy.
  • Ensure compliance with company policies, audit requirements and operational guidelines.
• Team Management & Leadership
  • Lead and mentor the billing and operations team.
  • Allocate responsibilities, monitor performance and drive accountability.
  • Foster a culture of ownership, discipline and continuous improvement.
• Stakeholder Coordination
  • Act as a key liaison between Sales, Finance, Logistics, Depots, C&Fs and Management.
