Role Overview
The Manager – Admissions and Outreach will own the end-to-end student admissions process and the retention of admitted students for Nayanta University. The role combines disciplined, applicant-facing admissions management and sustained engagement with admitted students and their families through to enrolment, with planning and communications for outreach events - leading the admissions counselling and outreach team to bring in, and retain, a strong, diverse cohort of students each year.
Key Responsibilities
1. Outreach Events and Communications
- Support the outreach strategy in line with Nayanta's enrolment goals, with a focus on planning and executing outreach events - webinars, campus tours, school visits, and education fairs.
- Own communications for outreach events - invitations, reminders, and follow-ups across email and WhatsApp - and maintain a communication tracker to ensure timely, consistent messaging to students, parents, schools, and counsellors.
- Maintain school and counsellor databases built from past applications and enrolments, and use them for targeted event communications.
- Represent Nayanta University professionally at external events, fairs, and school engagements.
2. Admissions Process Management
- Own the execution and continuous improvement of the end-to-end admissions process, from application review and shortlisting through entrance tests, interviews and the release of offers.
- Manage the external interface with applicants and parents, and the internal approval workflow, ensuring a smooth, transparent, and timely process.
- Liaise with internal teams (academics, operations, finance) and external partners to resolve issues in real time through the admissions cycle.
- Oversee invoicing and the fee payment process for admitted students.
3. Applicant and Family Engagement and Retention
- Ensure prospective students and parents receive timely, accurate guidance through every stage of the admissions journey - inquiry, application, interview, and offer.
- Design and oversee engagement touchpoints - counselling sessions, parent interactions, webinars, welcome meets, and campus tours - to support conversion from inquiry to enrolment.
- Track applicant engagement using CRM tools, ensuring timely follow-up and a well-documented, data-driven funnel.
- Own the retention of admitted students from offer to enrolment - addressing student and parent queries and concerns, including on fees, deferments, and withdrawals, in a timely and empathetic manner.
- Design and oversee pre-joining engagement touchpoints for admitted students and families, and track drop-offs to minimise attrition before the start of the academic year.
4. Team and Stakeholder Leadership
- Coordinate closely with Marketing, Academics, and University leadership to align event messaging, admissions criteria, enrolment targets, and retention goals.
- Report regularly on event participation, funnel conversion, retention, and admissions progress to University leadership.
5. Insights and Continuous Improvement
- Collect and analyse feedback on messaging, events, the applicant experience, and reasons for drop-offs, and recommend changes to improve conversion and retention for subsequent admission cycles.
- Stay current on competitor positioning and trends in student recruitment and retention.
The stated responsibilities are not an exhaustive list of duties.
