Qualifications

  • 11–13 years of strong experience in Administration, Corporate Real Estate, and Facilities Management.
  • Bachelor's degree or equivalent in a relevant field; professional certifications preferred.
  • Strong leadership, negotiation, communication, and cross‑functional collaboration skills.

Responsibilities

  • Lead end‑to‑end Facility Management including daily operations, housekeeping, security, F&B, and workplace experience.
  • Oversee O&M of MEP systems, UPS, DG, HVAC, and ensure uptime and safety standards.
  • Drive CRE, space planning, lease obligations, and workplace improvements across multi‑location sites.
  • Implement BCP, risk management, and compliance with regulatory and safety requirements.

Role Overview

We are seeking a highly experienced Manager - Administration & Facilities to lead the full spectrum of facility operations across our Bangalore corporate offices and centers. The ideal candidate will have deep expertise in Facility Management, CRE, O&M, Housekeeping, Security, F&B, Transportation, Travel, Logistics, ESG, Sustainability, Statutory Compliance, and BCP, along with excellent communication and stakeholder management skills. This position requires a strategic, collaborative, and hands-on leader who ensures operational excellence and an exceptional workplace experience.

Key Responsibilities
  • 1. Facility Management & Operations Lead end-to-end Facility Management including daily operations, soft services, and infrastructure upkeep. Oversee Housekeeping, Security, Front Office, F&B, cafeteria management, and workplace experience. Manage Operations & Maintenance (O&M) of MEP systems, UPS, DG, HVAC, and critical infrastructure. Ensure 100% adherence to AMC schedules, technical SLAs, safety standards, and uptime requirements.
  • 2. Corporate Real Estate (CRE) & Space Management Manage space planning, seating strategy, occupancy optimization, and future expansion needs. Coordinate with landlords on building operations, lease obligations, upgrades, and facility improvements. Support Design & Build projects—workspace design reviews, BOQs, fit-outs, refurbishments, and execution oversight.
  • 3. Statutory Compliance & Audit Readiness Ensure compliance with all statutory, regulatory, and legal requirements related to facilities, operations, safety, and labor norms. Maintain documentation for internal audits, compliance audits, ISO, and workplace safety audits. Coordinate with authorities for licenses, renewals, building compliances, fire safety, and environment compliance.
  • 4. Business Continuity Planning (BCP) & Risk Management Develop, implement, and regularly review BCP frameworks for facilities and operations continuity. Conduct risk assessments, incident preparedness drills, and crisis management coordination. Ensure readiness of backup systems and contingency plans.
  • 5. ESG, Sustainability & DEI Drive ESG initiatives, sustainable workplace practices, energy-saving measures, and waste management. Ensure alignment with sustainability KPIs, environmental standards, and reporting frameworks. Promote DEI (Diversity, Equity & Inclusion) principles across facility operations, vendor engagement, and employee experience.
  • 6. Transport, Travel, Courier & Logistics Manage employee transportation—fleet planning, routing, compliance, and vendor governance. Support travel services, hotel stays, itinerary coordination, and travel policy compliance. Oversee courier management, logistics coordination, and inter-office shipments.
  • 7. Vendor & Stakeholder Management Manage the entire vendor ecosystem—onboarding, SLA monitoring, performance evaluation, and escalations. Build strong partnerships with business stakeholders, department heads, and leadership teams. Ensure service quality, cost efficiency, and continuous process improvement.
  • 8. Events & Engagement Lead internal and external event management, including leadership visits, townhalls, offsites, workshops, and employee engagement initiatives. Coordinate logistics, infrastructure arrangements, vendor support, and end-to-end execution.
  • 9. Procurement Knowledge, Billing & Budgeting Work closely with procurement teams with strong knowledge of procurement processes, PR/PO cycles, material sourcing, and vendor onboarding. Ensure accurate billing validation, budget planning, tracking, and cost control. Review monthly facility budgets, consumption patterns, and variance reports.
  • 10. MIS, Reporting & Documentation Prepare facility MIS, dashboards, KPIs, incident reports, and monthly business reviews. Maintain updated SOPs, checklists, safety manuals, and documentation required for audits and compliance.
  • 11. Team Leadership Lead and mentor facility executives, on-ground service teams, and vendor staff. Drive a culture of service excellence, accountability, and teamwork.
Key Skills & Competencies

Strong domain knowledge in Facility Management, CRE, O&M, and technical infrastructure. Excellent communication, coordination, stakeholder management, and leadership skills. Strong analytical, reporting, and MIS capabilities. Knowledge of ESG, DEI principles, RPWD and sustainable workplace practices. Hands-on experience with multi-location operations is a plus. Computer literate; proficient in Excel, dashboards, FM tools, CAFM systems.

Preferred Certifications

CFM (Certified Facility Manager) – IFMA FMP (Facility Management Professional) OSHA / Safety / BCP certifications Sustainability or ESG-related certifications are preferred.

11–13 years of strong experience in Administration, Corporate Real Estate, and Facilities Management. Strategic mindset with operational excellence. Collaborative team player with strong negotiation and communication skills. Proven ability to manage complex operations, technical systems, and large teams.
