Qualifications

Responsibilities

  • Prepare, format, proofread, and manage legal documents, correspondence, agreements, pleadings, affidavits, opinions, reports, and presentations.
  • Incorporate revisions, mark-ups, and redlines while ensuring compliance with firm formatting standards.
  • Maintain matter files, document repositories, and records in physical and electronic formats.
  • Assist in the preparation of transaction documents, court briefs, hearing bundles, and closing documentation.
  • Manage incoming/outgoing correspondence, emails, courier dispatches, and document distribution.
  • Coordinate meetings, conference calls, client appointments, and travel arrangements.
  • Track key deadlines, hearing dates, filing schedules, and other critical milestones.
  • Handle telephone calls, take messages, and facilitate communication between clients, courts, counsels, and internal stakeholders.
  • Track and update action items and To-Do tasks for the Senior Partner.

Job description

Role Summary

The Legal Secretary provides comprehensive administrative, documentation, matter management, billing, and practice support to the Senior Partner and legal team. The role is responsible for accurate preparation and management of legal documents, coordination of court filings, attendance and timesheet monitoring, billing support, records management, and day-to-day administrative activities. The position requires strong organizational skills, confidentiality, attention to detail, and the ability to manage multiple priorities in a fast-paced legal environment.

Key Responsibilities
Legal Documentation & Matter Support
  • Prepare, format, proofread, and manage legal documents, correspondence, agreements, pleadings, affidavits, opinions, reports, and presentations.
  • Incorporate revisions, mark-ups, and redlines while ensuring compliance with firm formatting standards.
  • Maintain matter files, document repositories, and records in both physical and electronic formats.
  • Assist in the preparation of transaction documents, court briefs, hearing bundles, and closing documentation.
Administrative & Communication Support
  • Manage incoming and outgoing correspondence, emails, courier dispatches, and document distribution.
  • Coordinate meetings, conference calls, client appointments, and travel arrangements as required.
  • Track key deadlines, hearing dates, filing schedules, and other critical milestones.
  • Handle telephone calls, take messages, and facilitate communication between clients, courts, counsels, and internal stakeholders.
  • Track and update action items and "To-Do" tasks for the Senior Partner to ensure timely closure.
Court & Regulatory Filing Support
  • Coordinate the preparation, indexing, pagination, and submission of court filings, applications, pleadings, and supporting documents.
  • Monitor daily cause lists and update the Senior Partner regarding listed matters, hearings, and important developments.
  • Liaise with court clerks, filing teams, process servers, and regulatory authorities to ensure timely filings and compliance.
  • Monitor relevant court, tribunal, and regulatory portals and communicate key updates to the legal team.
Timesheet, Billing & Practice Management
  • Review and monitor the Senior Partner's timesheets in Theo and coordinate timely submission of time entries.
  • Prepare and process client billing in coordination with the Finance team for Corporate, Tax, Trademark, and Patent matters.
  • Track billing status, outstanding invoices, and relevant matter-related administrative requirements.
Attendance & Team Coordination
  • Monitor and review attendance records of the Senior Partner's team through Omada.
  • Ensure attendance-related updates and discrepancies are tracked and escalated where required.
  • Support the team in maintaining compliance with internal attendance and leave management processes.
Records Management & Compliance
  • Ensure proper maintenance, storage, retrieval, and archiving of legal records and matter-related documentation.
  • Adhere to firm policies on confidentiality, information security, and data protection.
  • Handle sensitive client and firm information with the highest level of discretion and professionalism.
Qualifications & Experience
  • Graduate in any discipline.
