Responsibilities

  • Develop, manage and ensure efficient IPD operations across all wards and departments.
  • Ensure compliance with departmental protocols, SOPs and hospital policies.
  • Conduct daily IPD rounds, engage with patients, address concerns with empathy and clear communication.
  • Coordinate with Billing, Insurance, Nursing, Housekeeping, Doctors and Admission Desk to ensure smooth IPD functioning.
  • Monitor and resolve IPD grievances and service-related issues promptly.
  • Track Admission and Discharge TAT and coordinate with Admission Desk to improve flow.
  • Facilitate timely physical discharge and optimise bed availability.
  • Maintain hygiene, cleanliness and sanitation standards across all wards.
  • Ensure compliance with Room Readiness Checklist and timely patient shifting.
  • Identify and coordinate resolution of maintenance issues affecting IPD operations.
  • Oversee preventive maintenance to minimise disruptions and ensure safety.
  • Adhere to financial policies including 80% advance payment policy where applicable.
  • Lead training and development programmes for IPD staff to enhance service quality.
  • Participate in meetings with healthcare offices and regulatory bodies as required.

Key Responsibilities
  1. Responsible for the development, operational efficiency, and overall functioning of the IPD.
  2. Ensure that all departmental protocols, SOPs, and hospital policies are consistently followed.
  3. Conduct daily IPD rounds, interact with patients across wards, understand their concerns, and address their queries with patience and empathy.
  4. Coordinate effectively with Billing, Insurance, Nursing, Housekeeping, Doctors, Admission Desk, Maintenance, and other support departments to ensure smooth IPD operations.
  5. Monitor, address, and resolve IPD patient grievances and service-related concerns in a timely manner.
  6. Track Admission and Discharge TAT and establish effective coordination with the Admission Desk Team to improve operational efficiency.
  7. Personally follow up on pending cases wherever required to expedite admission and discharge processes.
  8. Ensure that hygiene, cleanliness, and sanitation standards are consistently maintained across all wards.
  9. Monitor compliance with the Room Readiness Checklist and ensure prompt shifting of patients to and from the ward areas.
  10. Identify and coordinate the resolution of maintenance-related issues affecting IPD operations.
  11. Ensure that preventive maintenance activities are carried out regularly to minimise operational disruptions.
  12. Ensure adherence to hospital financial policies, including the 80% advance payment policy, wherever applicable.
  13. Ensure that all hospital staff maintain cordial, helpful, respectful, and empathetic communication with patients and their caregivers.
  14. Review outstanding/due payment cases with the Recovery Coordinator and elevate critical cases to the appropriate authorities.
  15. Resolve concession-related financial matters in coordination with consultants and senior management authorities.
  16. Conduct daily follow-up with the Financial Recovery Executive regarding outstanding IPD dues; ensure daily dues are reviewed and communicated to patient relatives, and highlight significant outstanding amounts to the Head of Hospital.
  17. Accompany the Chairman and Head of Hospital during daily rounds and ensure timely closure of observations and action points.
  18. Facilitate bed availability for new admissions by optimising room allocation, including conversion of single-occupancy rooms to semi-private/general categories when required and as per hospital policy.
  19. Personally counsel patients and caregivers, wherever appropriate, to facilitate timely physical discharge and improve bed availability.
  20. Handle VIP, influential, and other sensitive patient cases discreetly and professionally, particularly with regard to financial and service-related matters.
  21. Address and counsel patients/caregivers regarding billing-related queries, coordinating with the Billing Department wherever required.
  22. Make necessary arrangements and coordinate IPD requirements for health camps, academic courses, examinations, inspections, audits, and other institutional activities.
  23. Take responsibility for training and development programmes for IPD staff to enhance service quality, operational knowledge, and patient experience.
  24. Attend meetings at various healthcare offices, regulatory bodies, or external/internal forums as directed by management.
  25. Ensure timely closure of IPD concession cases in coordination with the concerned departments and authorities.
  26. Ensure completion of IPD-related HR and manpower activities, including shift changes, leave management, swipe/attendance requests, and duty rosters.
  27. Prepare and present the annual departmental budget to management, with a focus on cost optimisation, operational efficiency, revenue enhancement, and contributing to the organisation's profitability.
