Job summary

Confidential is seeking an HRIS & Technology Specialist (ERPNext) to own and continuously improve the HRIS. You will partner with HR, Payroll, IT, and the development team to standardize processes, minimize manual work, and maximize ERPNext usage.

Role focuses on challenging unnecessary customizations, evaluating standard functionality, and driving process improvements. Ideal candidate has 6–7 years in HRIS or HR systems and strong documentation skills.

Qualifications

  • 6–7 years of experience in HRIS/HR systems roles.
  • Strong knowledge of core HR and payroll processes.
  • Experience with ERPNext or HRMS systems.
  • Ability to translate business requirements into system specs.
  • Excellent BRD, process mapping, and documentation skills.
  • Ability to collaborate with HR, Payroll, IT and development teams.

About the Role
  • Our HR application on ERPNext is live and actively used by the HR team. The next phase is not simply about handling requests — it is about continuously improving the HRIS, standardizing processes, maximizing the use of available HR modules, and ensuring the system evolves in line with established HR and payroll practices.
  • As the HRIS & Technology Specialist, you will act as the functional owner between HR, Payroll, IT, and the technical support/development team. You will understand business requirements, but also proactively identify opportunities to improve processes, eliminate manual work, strengthen standardization, and increase adoption of existing HRIS capabilities.
  • A key expectation of the role is to challenge unnecessary customization and ensure that standard ERPNext/HRIS functionality is fully evaluated and utilized before proposing new development.
What You'll Do
HRIS Ownership & Continuous Improvement
  • Own the day-to-day functional health and continuous improvement of the HRIS.
  • Proactively identify process gaps, inefficiencies, manual activities, and opportunities for automation.
  • Review existing HR processes and recommend improvements rather than waiting for requests.
  • Maintain a forward-looking HRIS improvement roadmap.
  • Identify underutilized HRIS capabilities and drive their adoption.
HRIS Standardization & Governance
  • Establish and maintain standardized HRIS processes across relevant HR and payroll functions.
  • Ensure HR teams follow defined system processes and workflows consistently.
  • Promote standard ERPNext/HRIS functionality before customization.
  • Evaluate the business and operational impact of proposed customizations.
  • Prevent unnecessary duplication, workarounds, and department-specific practices.
  • Maintain functional standards, process documentation, and system governance.
ERPNext / HR Module Utilization
  • Ensure maximum practical utilization of available ERPNext HR modules.
  • Review existing configurations and identify functionality that is available but not being used effectively.
  • Recommend appropriate use of standard modules for employee lifecycle, attendance, leave, payroll, appraisals, recruitment, expense and related HR processes.
  • Coordinate enhancements, configuration changes, integrations, and new module implementations.
  • Stay informed about relevant ERPNext/Frappe HRMS capabilities and assess their applicability.
Business Analysis & Requirements
  • Receive and analyse HR requirements, issues, and enhancement requests.
  • Understand the underlying business need rather than simply implementing the requested solution.
  • Compare requirements against existing HRIS functionality and standard HR practices.
  • Propose alternative solutions where a process change or existing functionality is more appropriate than development.
  • Prepare BRDs, process flows, functional specifications, and acceptance criteria.
  • Obtain appropriate business sign-off before development or major configuration changes.
Implementation & Delivery
  • Coordinate with the technical/development team through configuration and development.
  • Conduct functional testing and coordinate UAT.
  • Validate that delivered functionality meets the approved requirement.
  • Coordinate user communication, training, rollout, and post-release support.
  • Monitor adoption after implementation and address recurring issues.
HR & Payroll Process Excellence
  • Develop strong knowledge of employee lifecycle, attendance, leave, payroll, benefits, appraisals, compliance, and related processes.
  • Identify opportunities to standardize and simplify HR and payroll operations.
  • Ensure system processes support defined company policies and approved business practices.
  • Work closely with HR and Payroll stakeholders to improve data quality, controls, and process consistency.
What We're Looking For
  • 6 – 7 years of experience as a Business Analyst, Functional Consultant, HRIS Specialist, HR Systems Specialist, or similar role.
  • Strong understanding of core HR and payroll processes.
  • Experience working with an HRIS, ERP, HRMS, or payroll system.
  • Ability to analyse business processes and translate them into system requirements.
  • Strong BRD, process mapping, documentation, and stakeholder-management skills.
  • Ability to understand system capabilities and distinguish between configuration, standard functionality, process improvement, and customization.
  • A mindset focused on standardization, automation, optimization, and continuous improvement.
  • Confidence to challenge requirements constructively and recommend better alternatives.
  • Ability to work effectively with HR, Payroll, IT, and software development teams.
  • ERPNext/Frappe HRMS experience is highly desirable.
