Role Overview:-

Newton School is seeking a Facility Operations Manager to lead high‑stakes execution, vendor management, and student experience across our campus and hostels in Pune. This role is designed for a corporate operator, problem solver, and skilled people manager who can apply structured project management methodologies, analytical frameworks, and corporate rigor to campus living and facilities operations.

Rather than running facilities in a traditional administrative capacity, you will act as the operational owner for the entire residential ecosystem. You will manage large outsourced vendor partners (F&B/mess, security, housekeeping, and facility operators) alongside an internal operations team. If you excel at driving vendor SLAs, managing multi‑stakeholder dynamics, handling emergency response, and building scalable SOPs, this role offers direct ownership of campus infrastructure serving hundreds of high‑performing technology students.

Key Responsibilities:-
1. Residential & Campus Operations Ownership
  • Own day‑to‑day operational readiness, upkeep, and execution across all 4 student hostel facilities.
  • Translate campus living requirements into clear operating plans, sprint‑like execution roadmaps, and measurable service KPIs.
  • Conduct regular site audits, resource allocation reviews, and capacity planning to ensure seamless resident onboarding and ongoing facilities performance.
2. Vendor Lifecycle & SLA Management
  • Lead end‑to‑end management of outsourced vendor partners, including hostel operators, security agencies, F&B/mess providers, and facility maintenance teams.
  • Establish clear Service Level Agreements (SLAs), Key Performance Indicators (KPIs), and governance frameworks across all vendor touchpoints.
  • Drive weekly and monthly vendor reviews; enforce financial and operational accountability around food quality, hygiene standards, safety compliance, and manpower deployment.
3. Crisis Management, SOPs & Incident Response
  • Design, standardize, and continuously upgrade standard operating procedures (SOPs) for campus safety, health emergency protocols, facility breakdowns, and incident response.
  • Serve as the primary escalation point for campus incidents, inter‑student conflict resolution, security breaches, or service delivery breakdowns.
  • Implement structured root‑cause analysis (RCA) and preventive action frameworks following any operational incident.
4. Stakeholder Management & Resident Experience
  • Act as a key liaison between students, parents, university administration, leadership, and external vendor teams.
  • Build rapid feedback mechanisms to track student satisfaction, resolving facilities and dining issues with speed and high accountability.
  • Maintain clear corporate communication streams, delivering weekly and monthly operational updates to senior operations leadership.
5. Process Excellence, Tech Integration & Data Rigor
  • Build and track operational dashboards to monitor metrics such as ticket resolution time, vendor SLA compliance, incident counts, and operational expenditure.
  • Identify operational bottlenecks and implement digital tools (issue-ticketing systems, access control tracking, digitized feedback loops) to drive transparency and speed.
  • Optimize operational costs through contract performance reviews, usage audits, and resource optimization without compromising quality standards.
Required Qualifications & Skills:-
Must‑Have
  • 3 to 5 years of experience in Operations Management, Program/Project Management, Business Operations, Facilities Operations, or Hospitality/Services Operations within a structured corporate setup.
  • Proven track record of managing multi‑vendor ecosystems, contract SLAs, and external service partners.
  • Demonstrated experience leading teams and managing cross‑functional stakeholder expectations under tight timelines.
  • Exceptional crisis management, conflict resolution, and high‑stakes problem‑solving abilities.
  • Hands‑on proficiency in data tracking, operational reporting, and dashboards (Excel, Google Sheets, ticketing tool analytics).
  • Excellent corporate verbal and written communication skills.
Preferred
  • Prior experience in fast‑paced tech startups, ed‑tech, corporate real estate/facilities management, or high‑touch hospitality.
  • Exposure to process optimization, zero‑to‑one operational setups, or vendor governance frameworks.
  • Bachelor s degree in Business, Operations, Engineering, Management, or related fields.
Key Competencies:-
  • Corporate Rigor & Ownership: High bias for action, structured execution, and relentless focus on outcome ownership over activity tracking.
  • Vendor Governance: Ability to negotiate firmly, enforce SLAs strictly, and hold third‑party contractors accountable.
  • Empathy & Stakeholder Tact: Skilled at balancing corporate standards with empathy when resolving student and parent concerns.
  • Systems Thinking: Ability to turn recurring operational friction into repeatable, tech‑enabled SOPs.
What Success Looks Like:-
  • 100% Vendor SLA Adherence: High standards in dining hygiene, facility upkeep, and round‑the‑clock campus security.
  • Rapid Incident Resolution: Fast turnaround on resident tickets and streamlined crisis response protocols.
  • High Resident NPS: High student and parent satisfaction scores regarding resident living and dining facilities.
  • Predictable & Scalable Operations: Smooth operational execution across all 4 facilities supported by real‑time dashboards and robust SOPs.
