This role acts as a key point of contact for technical issues, vendor coordination, and compliance management at the site.
Key Responsibilities
- The Facility Executive – Technical oversees the operation and maintenance of all mechanical, electrical, plumbing (MEP), HVAC, fire and life safety, and other critical building systems, conducting regular inspections to identify faults or inefficiencies before they accelerate.
- This person manages planned preventive maintenance (PPM) schedules and ensures timely completion of corrective and reactive maintenance work orders, often using a computerized maintenance management system (CMMS).
- Vendor and contractor management forms a core part of the role, including supervising third-party service providers performing technical work, reviewing their performance against service level agreements (SLAs), and verifying compliance with safety protocols.
- The role holder also tracks equipment warranties, asset life cycles, and spare parts inventory to support cost-effective maintenance planning.
- Compliance and safety are central responsibilities: the Facility Executive – Technical ensures adherence to statutory and regulatory requirements (fire safety, electrical safety, environmental regulations), maintains documentation for audits, and supports health and safety programs including risk assessments and incident reporting.
- Energy management duties typically include monitoring utility consumption, identifying opportunities for energy efficiency, and supporting sustainability initiatives.
- The role also involves budget support, where the executive assists in preparing and tracking the technical maintenance budget, reviewing invoices, and identifying cost-saving opportunities without compromising service quality.
- Reporting and documentation responsibilities include maintaining accurate records of maintenance activities, equipment performance, and incident logs, along with preparing periodic reports for site or facility managers and clients.
- Emergency response is another key function, requiring the individual to respond promptly to technical breakdowns or emergencies, coordinate repairs, and minimize downtime or disruption to building operations.
- Finally, the role supports client and stakeholder communication by acting as a liaison between tenants, occupants, and the technical team to resolve facility-related concerns efficiently.
Qualifications and Experience
- Candidates typically hold a diploma or degree in Electrical, Mechanical, or Building Services Engineering, or a related technical field.
- Three to six years of experience in facilities management, building operations, or technical maintenance roles is generally expected, along with working knowledge of HVAC, electrical, plumbing, fire safety, and BMS (Building Management Systems).
- Familiarity with CMMS/CAFM platforms, strong understanding of statutory compliance requirements, and the ability to read technical drawings and equipment manuals are also important.
Key Skills
- Strong troubleshooting and problem-solving abilities, effective vendor and contractor management skills, and clear communication for coordinating with clients, tenants, and internal teams are essential.
- The role also requires solid organizational skills for managing maintenance schedules, documentation, and compliance records, along with the ability to work under pressure during emergencies or critical system failures.
