Job summary

Blue Dart is seeking an Operations Executive to manage Ground Hub shift operations in Karnataka. You will oversee inbound, outbound and transit activities to ensure timely connections of shipments onto the ground network.

Reporting to the Head – Ground Hub Operations, you will supervise tally, documentation and loading, coordinate with origin for arrivals and ensure on-time dispatch and proper regulatory paperwork. Strong communication with PUDs, DCs and service centres is required.

Responsibilities

• Supervise the entire shift operations for inbound, outbound and transit shipments, focusing on tally, documentation and loading.
• Ensure timely and accurate connections of shipments onto the approved ground network.
• Oversee timely dispatch of inbound loads to service centers, PUDs, DCs or customers during the shift.
• Coordinate with origin on load arrivals and ensure onward connections to destination as per schedule.
• Manage activities related to point-to-point operations, multi-level billing and EDL/ODA during the shift.
• Coordinate and manage daily inbound/outbound shipments on the rail network and ensure proper receipts when applicable.
• Ensure completion of paperwork for regulatory clearances for all loads during the shift.
• Coordinate with check-posts and nakas for shipment clearance.
• Oversee supervisors to ensure SOP adherence and smooth field operations.
• Communicate network changes, priority runs, misconnections to PUD/service centers.
• Update mails for misconnections and misroutes to relevant locations.
• Handle exceptions during the shift and ensure closure or resolution.
• Ensure adequate vehicle availability for inbound/outbound operations and plan fleet needs.
• Oversee vehicle placement at bays and monitor tally/loading during the shift.
• Conduct SLAH checks and take actions as needed.
• Manage internal/external communications and monitor attendance and staffing for daily operations.
• Brief staff daily on operational changes and support shift planning by the Head – Ground Hub.
• Ensure safety in handling shipments and report damage to origin.
• Maintain adequate staffing at the ground hub with full-time employees, PDAs and loaders.
• Monitor staff performance and support training aligned with central programs.
• Responsible for generation of MIS related to ground hub operations during the shift.

Operations Executive

Ground Operations

Reporting to: Head – Ground Hub Operations.

Purpose

Responsible for all inbound, outbound and transit operations at the ground hub during the shift, ensuring timely and accurate connections of shipments onto the ground network.

Key Responsibilities

• Supervise the entire shift operations in terms of inbound, outbound and transit operations for shipments, mainly in terms of tally, documentation and loading operations.
• Ensure timely and accurate connections of shipments onto the approved ground network.
• Ensure the timely and accurate dispatch of inbound loads to the respective service centers, PUDs, DCs, or directly to customers during the shift.
• Ensure on-time arrival and departure of all loads during the shift; coordinate with origin to provide information on load arrivals and ensure timely further connections of shipments to destination as per scheduled runs.
• Ensure smooth conduct of activities related to point‑to‑point operations, multi‑level billing operations and EDL/ODA operations during the shift.
• Manage connections of daily inbound and outbound shipments on the rail network.
• In case of rail operations, ensure timely load connections and receipt of loads to and from the railway stations.
• Ensure appropriate and accurate completion of paperwork and documentation for necessary regulatory clearances (octroi, sales tax, etc.) for all inbound, outbound and transit loads during the shift.
• Coordinate with check‑posts and nakas for clearance of shipments.
• Oversee the work of supervisors in the shift to ensure adherence to the operational workflows and standard operating procedures (SOPs) at the ground hub.
• Coordinate and manage all cases of network changes, priority runs, misconnections, etc. occurring during the shift; provide communication regarding the same to the concerned PUD centres / service centres.
• Ensure code updates for misconnections, misroutes, wrong tagging or any such issues and ensure mail communication to the required locations regarding the same.
• Handle all exception cases during the shift; check daily on the exceptions of the previous shifts and ensure follow‑up for closure or resolution of the same.
• Ensure availability of sufficient vehicles during the shift for inbound and outbound operations.
• Provide inputs for fleet requirements and ensure availability of sufficient vehicles for network and feeder runs.
• Oversee vehicle placement at bays and monitor the tally and loading operations during the shift.
• Undertake SLAH (stock lying at hub) checking for the shift and take appropriate action for the same.
• Handle all internal and external communications during the shift for smooth operations.
• Check and revert on mails from management, in conjunction with relevant departments.
• Check attendance and leave data for all staff in the shift; plan daily operations within the shift as per the loads and attendance.
• Conduct daily staff briefings, including communication regarding any operational changes in the shift.
• Support the Head – Ground Hub in shift planning.
• Ensure safe handling of all shipments and report any damage cases to the origin.
• Ensure adequate manning of the ground hub during the shift in terms of full‑time employees, PDAs, loaders, etc.
• Monitor performance of staff during the shift and support the conduct of regular training for regular staff, PDAs and loaders in line with the centrally designed training programmes.
• Responsible for generation of all MIS related to ground hub operations during the shift.

People

• Provide direction, guidance and support to employees to help them discharge their duties effectively.
• Ensure capability building for the team.

Key Result Areas and Key Performance Indicators

• Ensure service quality and excellence in the ground hub.
• Timely connectivity of inbound loads to the PUD/ DCs (% compliance).
• % stock lying at hub (SLAH).
• Timely update of status (in‑scan, out‑scan, exceptions, pre‑alerts etc.) in the system (% compliance within TAT).
• Adherence to SOPs (measured in terms of number of non‑compliances/deviations) as observed in audit.
• Number of instances of misroutes and misconnections.
• Ensure network health in the shift: adherence to network timelines (number of instances of delays in departure schedules of network vehicles) and % connectivity of shipments picked up within the cutoff times to the scheduled network runs.
• Ensure performance‑driven culture: adherence to performance management system timelines and guidelines.
