Job summary

Zydus Wellness Ltd. is seeking a detail-oriented professional to support E-commerce commercial claims, debit notes, and promotional compliance. The role collaborates with sales, finance, and customer accounts to ensure timely settlements, accurate documentation and smooth end-to-end processes, especially during major marketplace campaigns.

The candidate will manage validation, approvals, and settlement cycles, while maintaining robust records and MIS reporting for ongoing performance tracking.

Qualifications

• Graduate in Commerce, Finance or a related field.
• Experience with commercial claims processes and debit notes is preferred.
• Understanding of E-commerce and Quick Commerce business operations.
• Knowledge of promotional pricing and financial reconciliations is beneficial.

Responsibilities

• Manage promotional claims across E-commerce and Quick Commerce accounts; ensure alignment with approved agreements and plans.
• Verify and obtain approvals for corrected promotional claims; ensure timely closure within timelines.
• Manage debit notes from partners; verify against agreements and process internally with proper records.
• Coordinate debit note settlements with customer finance/commercial teams and finance reconciliation.
• Handle TOT claim settlements with NKAM and ensure supporting documents are available.
• Monitor promotional compliance during major marketplace events and map promotions against marketplace pricing.
• Prepare weekly MIS: promotional claims, debit notes, TOT claims and compliance reports; share with Sales and Finance teams.
• Liaise with Sales, Finance, Commercial, Supply Chain and Customer Account teams to ensure smooth operation.
• Track KPIs: claim closures, debit note processing accuracy, settlements and MIS accuracy.

Education

Graduate in Commerce/Finance or related field

Strong knowledge of commercial claim processes

Understanding of Debit Notes, Trade Promotions, and Financial Reconciliations

Knowledge of E-commerce/Quick Commerce operations

Job description

Job Purpose

To support the E-commerce business by managing commercial claims, debit notes, promotional compliance for E-commerce platforms. The role ensures timely claim settlements, accurate documentation, and seamless coordination between customers, sales, and finance teams.

Key Responsibilities

1. Promotional Claims Management

• Collect and consolidate promotional claims received from all E-commerce and Quick Commerce accounts.
• Validate claims against approved commercial agreements and promotional plans.
• Identify discrepancies and coordinate with customer teams for necessary corrections.
• Maintain complete documentation and records for all promotional claims.

2. Claim Verification & Approval

• Review corrected promotional claims with the National Key Account Manager
• Obtain final approval before processing.
• Ensure timely closure of all promotional claims within agreed timelines.

3. Debit Note Management

• Collect debit notes from various E-commerce and Q-commerce partners.
• Verify debit notes against approved commercial agreements.
• Process debit notes internally and maintain proper records.

4. Debit Note Settlement Coordination

• Coordinate with customer finance/commercial teams to obtain debit note settlement details.
• Share settlement details with the Zydus Finance team for reconciliation and accounting.
• Track pending debit notes until closure.

5. TOT Claim Settlement

• Coordinate with National Key Account Managers for processing and settlement of TOT claims.
• Ensure all required approvals and supporting documents are available.
• Monitor settlement status and follow up until completion.

6. Promotional Compliance Monitoring

• During key E-commerce events such as Prime Day, Great Indian Festival, Diwali Sale, Big Billion Days, and other marketplace campaigns:
• Collect all active promotional offers across platforms.
• Map promotions against compliance pricing shared by marketplace partners.
• Highlight pricing deviations and coordinate with internal stakeholders for corrective actions.

7. Reporting & MIS

• Prepare and circulate the weekly Provision Claim Tracker.
• Maintain trackers for
• Promotional Claims
• Debit Notes
• TOT Claims
• Compliance Reports
• Provide timely MIS reports to Sales and Finance teams.

8. Cross-functional Coordination

• Liaise with Sales, Finance, Commercial, Supply Chain, and Customer Account teams.
• Ensure smooth execution of commercial processes.
• Support the NKAM in day-to-day operational activities.

Desired Candidate Profile

Education

• Graduate in Commerce, Finance or a related field.

Experience

• 25 years of experience in E-commerce, Modern Trade, Sales Operations, Commercial Operations, or Finance Coordination.
• Experience in FMCG, Consumer Goods or Retail is preferred.

Skills & Competencies

• Strong knowledge of commercial claim processes.
• Understanding of Debit Notes, Trade Promotions, and Financial Reconciliations.
