Executive Assistant to Founder
We’re looking for a proactive, detail‑oriented Executive Assistant who acts as a strategic right hand to the founders—driving priorities, smoothing operations, and stepping in to solve problems on the fly.
- Strategic Support – Maintain founders’ priority lists, track commitments, and run accountability dashboards to ensure follow‑through on key initiatives.
- Operational Excellence – Design and manage systems that optimize time and productivity (calendar, workflows, communication trackers).
- Communication & Stakeholder Management – Point of contact with internal and external stakeholders; draft concise briefs and ensure messages reflect leadership priorities and tone.
- Hiring & Vendor Ops (Versatility) – Own ad‑hoc initiatives—source and qualify freelancers/contractors, post roles, coordinate interviews, manage vendor outreach, and drive tasks end‑to‑end with minimal guidance.
- Documentation & Contracts – Coordinate NDAs, MSAs, SOWs and renewals; liaise with internal owners and legal counsel; keep a clean, searchable record.
- Technology & Automation – Own productivity tooling (Notion, Google Workspace, Slack, Asana) and light automation/CRM hygiene to streamline reporting and follow‑ups.
- Information Management – Prepare meeting briefs, research summaries, and crisp decision memos that distill complex topics into actionable insights.
- Confidentiality – Handle sensitive information with discretion and professionalism.
Success in the First 90–180 Days
- Founders’ top priorities are delivered on schedule with minimal follow‑up.
- Hiring/freelancer requests are executed end‑to‑end (from brief to onboarding) quickly and reliably.
- Meetings run on prepped briefs; decisions are captured; actions are tracked to closure.
- Tooling and lightweight automations reduce manual work and improve visibility.
- Stakeholders experience clear, consistent, professional communication.
Requirements
- 1–3 years in an EA / Chief‑of‑Staff / Operations Coordinator role supporting founders or senior leaders.
- Strong educational background; Law, Business/Legal, or MBA a plus.
- Highly tech‑savvy; quick to learn new tools (Notion, Google Workspace, Slack, Asana; plus CRMs).
- Excellent written/verbal communication, organization, and prioritization.
- Initiative & Versatility: Comfortable wearing multiple hats and executing ambiguous tasks.
- Business Literacy: Working knowledge of core startup metrics and terms (e.g., MRR, ARR, pipeline, CAC/LTV basics).
- Sound judgment, discretion, and thrive in a fast‑paced startup environment.
