Job summary

United States Digital Space LLC in Bengaluru, India, seeks an Executive Assistant to support 3 Area Vice Presidents in India and ASEAN. The role is based in one of our India office locations, with a minimum of two days in the office weekly and quarterly travel for executive planning and offsite management.

You will manage calendars, coordinate meetings and travel, handle correspondence and reports, and work closely with senior leaders across functions.

Qualifications

  • 5+ years of experience supporting executives
  • Bachelor's Degree or equivalent relevant work experience
  • Ability to support a senior technical leader in a global org of 500+
  • Discretion, diplomacy, and integrity with confidential material

  • Operate on changing priorities with urgency

Responsibilities

  • Manage multiple requests and priorities of the Leaders while staying calm under pressure and anticipating changing needs
  • Manage the leader's calendar meticulously, coordinating all meetings and calls, including video conferencing and team events
  • Handle all travel and expenses, including international itineraries and last-minute changes
  • Lead and execute team events and offsite meetings, including procurement and accounts payable tasks
  • Assist with onsite logistics for events as needed
  • Draft and review correspondence, spreadsheets, slide decks, and meeting agendas
  • Track action items and key issues to closure with accountability
  • Think ahead, delegate responsibilities, and manage time effectively
  • Collaborate with senior leaders and cross-functional teams as required
  • Support special assignments or projects
  • Occasionally travel to support offsites or events

Job description

the company is seeking an Executive Assistant to support 3 Area Vice Presidents in the India and ASEAN region. This position will be based from one of our India office locations. This role requires a minimum of 2 days a week in the office, along with quarterly travel to support executive planning and offsite management.This role is ideal for a dynamic, intelligent, highly-organized individual who takes ownership over the details and loves to get things done. In this role, your day will consist of managing and prioritizing a steady stream of requests, meetings, and trips, and working closely with the leaders and the other members of their teams.

To succeed, you’ll have to balance the needs of multiple parties thoughtfully and diplomatically and be ready to pitch in wherever necessary. You should feel comfortable interacting with high-level executives and know how and when to manage in any direction in the organization, independent of role, title, or level. You can navigate Google Suite products or comparable ones and have proficiency to learn the necessary functions to execute tasks. You have excellent writing skills and verbal skills—and enjoy using them. We have a team-based collaborative culture, and the successful candidate will enjoy building relationships and teamwork just as much as the challenges posed by the role.

Responsibilities
  • Manage multiple requests and priorities of the Leaders while staying calm under pressure, exercising judgment, and seeing beyond the day-to-day to anticipate changing needs
  • Manage the leader's calendar meticulously and thoughtfully, coordinating all meetings and calls, including video conferencing and team events
  • Manage all travel and expenses, ready to handle international itineraries and last-minute changes
  • Lead, drive, and execute various team events and offsite meetings, including ushering contracts through the procurement process and accounts payable for payment. At times, you will need to assist with onsite logistics of the events
  • Liaise with executives to drive, create, and review correspondence, spreadsheets, slide decks, and meeting agendas
  • Track action items and key issues to closure with a high degree of integrity and accountability
  • Think and plan ahead, delegate responsibilities appropriately, and manage time effectively
  • Work with the senior leaders (direct reports, skip-levels, etc.) as needed to execute the duties of the job
  • Work cross-functionally with a diverse range of individuals at all levels in the organization
  • Assist with or deliver special assignments/projects
  • Occasionally travel to support offsites or events
Requirements
  • 5+ years of experience supporting one or more executives, or other relevant experience working directly with executives
  • Bachelor's Degree or equivalent relevant work experience
  • An ability to support a senior technical leader with global org pf 500+
  • Discretion, diplomacy, and excellent judgment; high degree of integrity when dealing with highly-sensitive and confidential material
  • Demonstrate a high level of accountability
  • Operate on changing priorities with urgency
  • Proficiency with Google Apps or similar, and video conferencing tools
