Job summary

Oceaneering India Center seeks a detail-oriented Document Controller to provide timely document control services and collaborate across business units. You will maintain accurate records, ensure policy adherence, and support data management across ERP/PLM systems.

Responsibilities include creating document objects, migrating files, generating KPI reports, and managing certificates and data transfers between systems. Strong communication and organizational skills are essential for success.

Qualifications

  • Bachelor's degree in science or commerce or related field.
  • 1–2 years experience as Document Controller or equivalent.
  • Proficient with MS Office, especially Excel and Word.

Responsibilities

  • Create document objects and attach appropriate files.
  • Engage in document migration projects as required.
  • Revise files and document objects; set up ECOs for sites to review and approve new documents.
  • Run weekly reports to track aging ECOs, ECRs, ROUTES and develop metrics.
  • Run daily Release Report & Development part OII Report and verify attributes.
  • Support manufacturing site for storage of documents on server.
  • Work on document formatting and data analysis projects.
  • Extract certificate files from Smartsheet/Google Drive/Site/Supplier emails; upload accordingly.
  • Edit and upload certificates/documents on data management software like PDM/PLM/PSFT.
  • Create/release engineering parts on server and transfer data between systems.
  • Identify, segregate and upload documents to proper locations.
  • Create Master Documents List (MDL) per project requirement.
  • Generate various document control reports as required.
  • Convert and upload legacy documents into PLM/PDM.
  • Provide deliverable quality and maintain KPI records.
  • Ensure entry in Lesson Learned log after project completion.

Essential
  • Create document objects and attach appropriate files.
  • Engage in document migration projects as required.
  • Revise files and document objects, set up ECOs for sites to review and approve for new documents.
  • Run weekly reports to track aging ECOs, ECRs, and ROUTES etc. and develop metrics.
  • Run daily Release Report & Development part OII Report and check all attributes are filled- in correctly.
  • Support Oceaneering manufacturing site for storage of documents on server
  • Work on Document formatting and data analysis projects.
  • Extract certificate files (Material certificate / Reports / Drawing certificate/ supplier Document, etc.) from smartsheet / Google drive / Site / Supplier email etc.
  • Edit and upload Certificates / documents on data management software like PDM / PLM / PSFT and fill required attributes of certificates
  • Create / release engineering parts on server and transferring data of parts from one software to another
  • Identify documents (Such as Images, FAT, test reports, shop drawings, data sheet. etc.), segregate them and upload them under respective locations.
  • Create MDL (Master Documents list) for Business Unit as per project requirement
  • Generate the various document control reports as required.
  • Convert and upload legacy documents into PLM/PDM.
  • Provide the quality of deliverables and maintain quality records (KPI's).
  • Ensure the entry in Lesson Learned log after completion of each project.
Non-essential
  • Promote team spirit, open & transparent work culture.
  • Work towards establishing Operational Excellence at ODC. Support Quality Management System implementation at ODC and drive Continuous Improvement process.
  • Do additional administrative /technical jobs as assigned.
Required
QUALIFICATIONS
  • Required bachelor's in science / commerce / PGDCA/ BCA or other relevant educational field.
  • 1- 2 years of practical experience as Document Controller or equivalent position
  • Should possess knowledge of the Microsoft Office package, especially of Excel and word.
DESIRED
  • Good knowledge of Microsoft Office applications
  • Knowledge on MS Excel including formulas, special functions viz. Pivot table, pivot chart, vlookup, hlookup etc.
  • Exposure with PLM / PDM or Other Document management tools is highly desirable.
