Job summary

Recruiterflow is an AI-native recruiting platform used by more than 1,700 firms worldwide. We are seeking an Associate Project Manager to help customers move to Recruiterflow and begin deriving value from day one.

You will coordinate data migrations, implementations, and enterprise pilots with Engineering, Customer Success, and Sales, translating customer goals into practical plans and tracking progress to ensure outcomes.

Qualifications

  • 2–4 years of experience in project coordination, SaaS implementation, customer onboarding, data migration, business analysis, solutions consulting, or a related role.
  • Strong analytical and structured problem-solving abilities.
  • Excellent written and verbal communication skills, with the confidence to work directly with global customers.
  • Ability to understand customer requirements and translate them into clear technical and operational actions.
  • Comfort working with spreadsheets, structured datasets, field mappings, and data-quality checks.
  • Working knowledge of SQL or the ability to learn and use it for data validation and investigation.
  • Familiarity with AI tools and an interest in using them to improve the quality and speed of work.
  • Ability to collaborate effectively with technical and customer-facing teams.
  • Strong attention to detail, particularly when handling customer data and validating outcomes.
  • A bias toward action, consistent follow-through, and the ability to take responsibility for a project from requirement gathering through completion.

Responsibilities

  • Coordinate end-to-end data migrations from legacy CRMs into Recruiterflow.
  • Translate customer requirements into clear documentation and actionable inputs for Engineering, Success and Sales.
  • Review data, identify gaps, and resolve issues before migration.
  • Validate migrated data for completeness, accuracy, relations, and usability.
  • Track items, dependencies, risks, and timelines through to completion.
  • Keep customers informed and set clear expectations on responsibilities and timelines.
  • Partner with Customer Success to implement Recruiterflow for new and existing customers.
  • Coordinate data setup, workflow configuration, testing, and go-live activities.
  • Support pilots and pre-sales with data migrations and required configurations.
  • Identify risks or adoption gaps early and address with relevant teams.
  • Maintain project documentation, decision logs, status updates, and next steps.
  • Work with Sales, CS, Product, and Engineering to ensure pilots translate into planned implementations.
  • Act as coordination point between customers and internal teams to move projects forward.
  • Document and improve implementation playbooks, migration checklists, and templates.
  • Leverage AI-based tools to analyze information and speed up execution.

Job description

We are changing how recruiting businesses operate by bringing their workflows, data, automation, and intelligence together in one platform—helping them recruit faster, make better decisions, and deliver more value to their clients.

We are looking for an Associate Project Manager to help customers successfully move to and get value from Recruiterflow.

You will coordinate data migrations, customer implementations, and enterprise pilots by working closely with customers and our Engineering, Customer Success, and Sales teams. You will understand customer requirements, translate them into clear execution plans, track dependencies, validate outcomes, and ensure projects move forward without gaps.

This role is well suited to someone early in their career who is analytical, resourceful, comfortable working with data and technology, and able to communicate clearly with both customers and internal teams. You should be willing to investigate problems, find practical solutions, and take responsibility for delivering outcomes.

Customer coverage: North America and Europe

Key Responsibilities:
Customer Data Migration
  • Coordinate the end-to-end migration of customer data from legacy CRMs and other systems into Recruiterflow.
  • Work with customers to understand their existing data structure, workflows, field mappings, and migration requirements.
  • Translate customer requirements into clear documentation and actionable inputs for the Engineering team.
  • Review source data, identify inconsistencies or gaps, and work with customers to resolve them before migration.
  • Validate migrated data for completeness, accuracy, relationships, and usability.
  • Track open items, dependencies, risks, and timelines through to completion.
  • Keep customers informed throughout the migration process and set clear expectations regarding responsibilities and timelines.
Customer Implementation and Value Delivery
  • Partner with Customer Success Managers to implement Recruiterflow for new and existing customers.
  • Help translate customer goals and processes into practical configuration and implementation plans.
  • Coordinate activities such as data setup, workflow configuration, testing, user readiness, and go-live.
  • Support initiatives that help existing customers adopt more of Recruiterflow and achieve measurable business outcomes.
  • Identify implementation risks or adoption gaps early and work with the relevant teams to address them.
  • Maintain clear project documentation, decision logs, status updates, and next steps.
Enterprise Pilots and Pre-Sales Support
  • Work with the Sales team to set up pilots and proof-of-concept environments for enterprise prospects.
  • Understand the prospect’s workflows, data requirements, evaluation criteria, and expected outcomes.
  • Coordinate sample data migrations and required system configurations.
  • Ensure pilot environments are accurate, usable, and ready within agreed timelines.
  • Collect feedback during pilots and coordinate necessary follow-ups with Sales, Customer Success, Product, and Engineering.
  • Help convert successful pilots into well-planned customer implementations.
Cross-Functional Execution
  • Act as the coordination point between customers, Engineering, Customer Success, and Sales.
  • Break ambiguous requirements into clear tasks, owners, dependencies, and timelines.
  • Follow up proactively to keep projects moving and elevate risks before they affect delivery.
  • Investigate recurring migration and implementation issues and recommend scalable improvements.
  • Use AI-based tools to analyze information, prepare documentation, investigate issues, and improve execution speed.
  • Contribute to implementation playbooks, migration checklists, templates, and internal documentation.
