About the Role

We are looking for an Associate Project Manager who is highly organized, execution-focused, and takes complete ownership of project coordination. This role is not just about updating project management tools or scheduling meetings—it is about ensuring commitments are delivered on time, risks are communicated early, and everyone involved stays aligned.

You will work closely with clients, Business Analysts, Technical Leads, developers, QA engineers, and the Founder to ensure projects move smoothly from planning to delivery.

Your Responsibilities

Project Coordination

• Own day-to-day project coordination from sprint planning through delivery.
• Ensure every stakeholder remains aligned throughout the project lifecycle.
• Conduct daily stand-up meetings.
• Coordinate with Business Analysts, Technical Leads, Developers, QA, and Clients.
• Ensure project timelines remain predictable and achievable.
• Ensure sprint planning is completed before every sprint starts.
• Work with Business Analysts and Technical Leads to ensure backlog readiness.
• While the current sprint is in progress, ensure the next sprint is already prepared.
• Follow up on pending requirements, estimations, and dependencies.
• Ensure developers always have well-defined work available.

Client Communication

• Lead client meetings independently.
• Schedule meetings and maintain meeting cadence.
• Share meeting notes and action items.
• Provide regular project updates.
• Keep important communication documented in Slack.

If a commitment is at risk, communicate early instead of waiting until the deadline.

Delivery Management

• Follow up daily with developers and Technical Leads.
• Track blockers and dependencies.
• Ensure commitments are delivered on time.
• Coordinate release planning.
• Monitor progress continuously until work is completed.

Reporting

Prepare and maintain:

• Daily Project Status Reports
• Weekly Client Status Reports
• Sprint Planning Reports
• Sprint Completion Reports
• Developer Performance Dashboards
• Resource Allocation Reports
• Release & Deployment Plans
• Leave Planning & Capacity Reports

Reports should be shared proactively without requiring reminders.

Identify risks before they become problems.

Communicate project health using clear status indicators such as:

• Green – On Track
• Orange – At Risk
• Red – Delivery Commitment Likely to be Missed

Escalate issues to the Founder whenever necessary.

Support Coordination

• Track production and support issues.
• Ensure critical issues receive immediate attention.
• Coordinate proper handover between night support engineers and the daytime development team.
• Follow up until support tickets are completely resolved.

Process Improvement

• Understand our delivery process.
• Create all required reports accurately and on time.
• Lead daily stand-up meetings.
• Participate in client meetings alongside Business Analysts and Technical Leads.
• Lead Sprint Review/Retrospective meetings by presenting delivered work, discussing missed commitments, and proposing improvements.
• Follow up with all stakeholders to ensure commitments are met.
• Ensure the next sprint backlog is fully prepared before the current sprint ends.
• Work independently without requiring repeated follow-ups.
