Role Purpose
The Facility Manager is responsible for end-to-end management of facility operations, ensuring seamless delivery of hard services, soft services, workplace experience, ESG initiatives, and compliance, while maintaining high standards of safety, efficiency, and stakeholder satisfaction. This role acts as a single point of accountability (SPOC) for all facility-related functions and plays a critical role in business continuity, cost optimization, and employee experience enhancement.
Key Responsibilities
- Hard Services Management (Technical Operations)
- Oversee operations and maintenance of all critical engineering systems, including HVAC, electrical, plumbing, fire & life safety, and building management systems.
- Ensure preventive and predictive maintenance programs are implemented and tracked.
- Maintain zero downtime for critical systems through proactive monitoring.
- Manage AMC contracts, vendor SLAs, and performance reviews.
- Lead energy optimization and cost reduction initiatives.
- Soft Services Management
- Manage housekeeping, pest control, landscaping, façade cleaning, and waste management.
- Ensure high hygiene standards across all areas.
- Implement SOPs and service benchmarks for consistent delivery.
- Conduct regular audits and drive continuous improvement.
- Oversee cafeteria operations and vendor performance.
- Workplace Experience, Events & Client Visits
- Plan and execute corporate events, leadership visits, and town halls.
- Manage VIP visits, audits, and client walkthroughs.
- Coordinate workspace readiness, branding, and hospitality services.
- Ensure seamless meeting room management and space utilization.
- Drive initiatives to enhance employee experience and engagement.
- ESG & Sustainability
- Lead ESG initiatives aligned with GRI, BRSR, ISO 14001.
- Drive programs on energy efficiency, waste segregation, water conservation.
- Track and report ESG KPIs and metrics.
- Support sustainability certifications such as LEED, IGBC, WELL.
- CSR
- Coordinate CSR initiatives such as community outreach, NGO partnerships, donation drives, employee volunteering.
- Ensure alignment with company CSR strategy and compliance.
- Track CSR impact and reporting metrics.
- Compliance, Risk & Governance
- Ensure adherence to statutory and regulatory requirements.
- Maintain licenses, permits, audit documentation.
- Conduct internal audits and support external audits.
- Drive Business Continuity Planning and emergency preparedness.
- Vendor & Builder Management
- Manage relationships with landlords, builders, developers, and vendors.
- Oversee lease compliance and coordinate fit-outs and handovers.
- Ensure vendor SLAs, KPIs, and contractual obligations are met.
- Work Order & Asset Management
- Manage CMMS/CAFМ tools for work order tracking, preventive maintenance scheduling, asset lifecycle management.
- Ensure timely resolution of service requests.
- Maintain asset registers and documentation.
- Financial & Budget Management
- Prepare and manage facility budgets, track expenses, and identify cost-saving opportunities.
- Manage procurement processes and vendor negotiations.
- Ensure adherence to financial controls and audit requirements.
- People Management & Leadership
- Lead and manage a team of engineers, supervisors, and soft service staff.
- Drive performance management, coaching, and development.
- Ensure high levels of team engagement and productivity.
- Manage staffing, rostering, and manpower planning.
- Stakeholder Management
- Serve as key interface between business units, leadership, and vendors.
- Build relationships to understand requirements.
- Provide regular MIS reports and dashboards.

Qualifications & Experience
